You’ve been hit with a major project setback. How can you stay positive and keep going?

By nature a project is progressively elaborative and a setback is not unusual. In spite of all efforts in the right direction, things may go wrong anytime in the project life cycle. It's uncomfortable to face a major setback and the only way to overcome the crisis situation is to first accept that things didn't work out as planned and anticipated. Secondly, it's necessary to discuss it with people who may not have immediate responses and yet would listen patiently. Thirdly, it's good to hold an initial session with the project team and stakeholders to acknowledge the setback, so that corrective steps can be taken to overcome the situation. Communicating clearly and expressing how we feel, reduces stress and helps to move forward.

While facing a significant project failure can be intimidating, being optimistic is essential. Instead of concentrating on failures, think about solutions. Divide the issue into more manageable, smaller jobs. Seek assistance from mentors or coworkers to gain new insights. To increase confidence, consider your prior achievements. Accept defeats as teaching moments where you can acquire knowledge for upcoming endeavors. To stay robust, take care of yourself by exercising and making time for hobbies. Appreciate modest accomplishments to keep spirits up. Remain proactive and keep your eyes on the prize to overcome obstacles and keep going forward.

It is necessary to conduct root cause analysis of the possible facts that led to the setback. A review of the project plan along with the phase wise deliverables or the latest phase delivery as applicable should be done along with the project team as well as the client team. It helps to get clarity on discrepancies if any. Also it helps to get acknowledgement from the project and client teams on what didn't work as planned. Once the problems and the root cause are clear, a discussion must be done with all stakeholders to update them. The corrective actions can be planned once all agree to the problems, the cause and the impacted areas

I have always contended that problems in your projects should not be a surprise. If you have a risk management plan, then you know ahead of time what you will do to turn it around. Now, we can't account for every problem that might occur. If we do get surprised then we need a quick re-calibration and assessment of the issue.

You must be clear if all of the existing requirements still hold true or if there are changes in scope for the corrections to take effect. You should prepare a fresh plan for tracking the changes, share with all concerned and ensure agreement. It helps to draft the high level design, discuss internally and provide a walkthrough to the client team so as to keep everyone on the same page. Development and implementation of the required changes should be done incrementally keeping the client team updated on the progress to avoid last minute surprises.

In these cases I relied on past experiences. I remembered similar challenges I had overcome in the past and how I had dealt with those situations. I used those past experiences as a source of inspiration and motivation to overcome the current setback. Even though it may seem difficult, you must always maintain a positive and optimistic attitude. A positive mindset can be contagious and inspire your team to work hard to find solutions. Finally, we must not allow the setback to stop us. We need to keep moving forward, even if it's one step at a time.

In my experience, every setback is an opportunity to gather insights and strengthen your approach for future endeavors. After analyzing what led to the setback, identify key takeaways and strategies to avoid similar issues going forward. One thing I've found helpful is to share these learnings with the team, fostering a culture of resilience and continuous improvement. A mistake to avoid is dwelling on the setback without extracting constructive lessons or allowing it to stifle innovation and risk-taking. Instead, recognize the setback as part of the learning process, focusing on actionable steps to mitigate the impact and improve future project outcomes. This mindset can keep you and your team motivated and focused on achieving success.
