Working on a complex project can be challenging and rewarding, but also stressful and frustrating. You may encounter problems that seem impossible to solve, or that require creativity and collaboration. How can you use problem-solving tools to succeed and achieve your goals?
The first step in any problem-solving process is to clearly define the problem you are facing. What is the main issue, and what are the causes and effects of it? How does it affect your project objectives, scope, and stakeholders? You can use tools such as the 5 Whys, the Fishbone Diagram, or the Problem Statement to help you identify the problem and its root causes.
To use a problem solving skill on any form of problem, simple or complex, the first step remains, understanding the problem and most importantly, its root cause. Identify the nature of the problem, critically carve solutions around the problems and subject the hypothesis in there to further fact-checks before choosing a sustainable solution.
To succeed in a complex project, first, understand the problem. Break it into smaller parts and use problem-solving tools and resources. Brainstorm different solutions, choose the best one, and take action. Afterward, reflect on what worked and learn for the future. Keep practicing and don't be afraid to ask for help. Stay positive in the face of challenges, continuously look for ways to improve, assess potential risks, establish a feedback loop with your team, and celebrate both successes and the valuable lessons learned from setbacks.
One thing I found important, is to start with the definition of the problem, then redefine it after collecting data. In many cases, we confuse between symptoms and real causes of problems. Ishikawa diagram, or other tools. It's useful to use creativity.
We can use various problem-solving techniques some of them being following: 1. Brainstorming: Involves generating large number of ideas in a short time. 2. Mind Mapping: Involves creating visual representation of the problem & its potential solutions. 3. SWOT Analysis: Involves analyzing strengths, weaknesses, opportunities and threats. 4. Pareto Analysis: Involves identifying most important problems or issues that need to be addressed. 5. Fishbone Diagram: Involves identifying root causes of a problem. 6. Six Sigma: Involves statistical methods to identify and eliminate defects. These techniques can identify root causes of problems, generate creative solutions and help making informed decisions.
You need to spend adequate time at this stage so that the problem is well defined and understood.A well defined problem will help you spend less time at the root cause and solution generating stage respectively.
Once you have a clear problem statement, you need to analyze the problem in depth. What are the facts and assumptions you have about the problem? What are the constraints and criteria you need to consider? What are the risks and opportunities involved? Using 6 hats to address all perspectives on the situations, as well as different ways of lateral thinking to create possible solutions.

As a PM, the review stage is particularly critical. This involves not only assessing the success of implemented solutions but also conducting regular retrospective analyses to understand what worked well and what didn't. Several companies might refer to this as a lessons-learned register or some other fancy term. Since Continuous improvement is key, feedback from stakeholders, and post-implementation reviews help refine the approach for future projects. It's about learning from both successes and challenges, creating a feedback loop that contributes to the organization's overall growth. Afterall, most companies with a growth trajectory have multiple projects backed up in their pipeline!
Although reviewing is the final step, it never ends. Why? Because the project is complex and growing, it may become even more complicated?as time passes. It is suggested that the team regularly reviews?the solution's implementation and effectiveness.

This helps you pick a career that truly fits you and makes you happy.

An example I have seen is Learning from Failures: There are countless examples where initial failures led to significant breakthroughs. A classic example is the creation of Post-it Notes by 3M. The product was the result of a failed attempt to create a super-strong adhesive. Instead of discarding this 'mistake', the team saw its potential as a low-tack, reusable adhesive. This story highlights the importance of maintaining an open mind and viewing failures as opportunities for learning and innovation.
Connecting to people who are dealing with similar problem or people who have solved that kind of problem in the past might be the easiest way to narrow down the solutions and get a better understanding of the chances in each attempt.
When facing a big project, it's helpful to use different problem-solving tricks. Break the project into smaller tasks and draw pictures to see connections. Try working backward to plan, and ask people with different skills for ideas. Test small versions of your solution and adjust them. Look at strengths and weaknesses, learn from other successful projects, and be ready for unexpected issues. Stay flexible and use these tricks to solve problems and make progress.
