I've been involved in a number of top-secret projects where confidentiality was essential. IT will take care of TOOLs but as Internal Communication professionals, we need two things - TRAINING and TRUST Training - Confidentiality is part of the code of conduct and other relevant policies on what can and cannot be shared and when - On key projects, have Non Disclosure Agreements (NDAs) signed - Ensure what can and cannot be shared is crystal clear and take the time to explain why - Provide a clear timeline to set expectations Trust - If employees trust you, they will keep your confidence. It is when trust is broken that people will fall out of line and feel justified doing so. - Bring people into the fold whom you can trust

With the current technology it is important and easier to maintain confidentiality. 1. Ensure that ALL your staff members are trained on confidentiality and they sign the NDAs. 2. When sharing confidential documents ensure they have a password and share the password with the individual person intended to received the information. 3. Make sure that the password is one time use and incase the person wants to read the info they have to request for a new password. 4. Secure the document in a way that one cannot screenshot or download. Lastly, ensure that your document is well encrypted that incase of any access you are notified. Key: Train your team on the importance of Confidentiality.

Building a culture where people appreciate the importance of confidentiality helps to embed it as a shared value across the organisation. When everyone understands that confidentiality isn’t just a compliance requirement, but a way to protect a company’s sensitive information, legal position and competitive results, they can relate it directly to company performance and ultimately their job security. When I worked in F1, we often shared information with the team which could have given our competitors an edge. By explaining and illustrating the potential (and real) consequences of careless actions, we trusted each person to handle sensitive information with vigilance and responsibility, which in turn helped to improve information security.

Most larger organisations have security classifications and protocols on sharing confidential information. I would always follow these. There are many document security features now available such as password protection or limiting access to specific email addresses, data/document downloading restriction options. Always have friends in IT who can advise you what is possible with your system.

He desarrollador diversos trabajos en la industria y una de las partes más valorada hacia mi y mis colaboradores, es la confidencialidad, incluso la vemos de la mano de la confianza entre unos y otros.
