Para asegurar una buena planificación anticipada y cumplir con los plazos debemos de: definir objetivos y alcance claros, desglosar las tareas, establecer plazos realistas, asignar recursos adecuados, identificar dependencias, crear un cronograma detallado, anticipar y mitigar riesgos, comunicar el plan a todas las partes interesadas, realizar revisiones periódicas y ajustar según sea necesario. La planificación cuidadosa. La flexibilidad es fundamental para una gestión efectiva de proyectos y tareas. ;)

2 Communicate effectively

Communication is key to meeting deadlines. You need to keep everyone informed of the project status, expectations, and changes. Use clear and concise language and avoid jargon or ambiguity. Para mí, la clave en una buena comunicación efectiva entre equipos externos al organizar tareas y cumplir plazos, es: establecer canales de comunicación claros y acordados, programar reuniones periódicas en Microsoft Teams, para actualizaciones de estado, utilizar herramientas de colaboración en línea como Microsoft planner y definir roles y responsabilidades. Además de mantener un registro de decisiones y cambios con Microsoft Onenote, por ejemplo. Y abordar problemas o malentendidos de inmediato. Fomentar la transparencia y el intercambio abierto de información. Ser constante, claro y bidireccional es esencial para coordinar esfuerzos y mantener a todos alineados hacia los objetivos compartidos.

3 Prioritize and delegate

Sometimes, you may have more work than you can handle. In that case, you need to prioritize and delegate. Prioritize the tasks that are most important, urgent, and valuable for the project. Focus on the ones that only you can do or that require your expertise. Delegate the tasks that are less critical, repetitive, or simple to someone else who has the skills and availability. Provide clear instructions and expectations to the person you delegate to and follow up with them.

En el caso de poder priorizar y delegar la organización de tareas y cumplir con los plazos, es indispensable que sigamos unos criterios: 1o- Identificar las tareas críticas que impactan más sobre los objetivos y plazos clave. Y priorizarlas en consecuencia. 2o- Evaluar las habilidades y capacidades del equipo y delegar tareas que se alineen con las fortalezas de cada uno de los miembros. 3o- Proporcionar instrucciones claras, recursos y autoridad para que puedan completar las tareas delegadas. 4o- Establecer fechas límite realistas para las tareas delegadas y hacer un seguimiento del progreso. 5o- Confiar en el equipo, pero mantenerse disponible, orientar y apoyar cuando sea necesario.

You are not alone in meeting deadlines. You have a team of colleagues, managers, and clients who are working with you. Collaborate and support them to achieve the best results. Share your ideas, knowledge, and resources with your team. Ask for help when you need it and offer help when you can. Respect and appreciate the contributions of others and acknowledge their efforts. Prepare team charter and teaming agreement to liaise with all stakeholders, prepare power interest matrix to prioritize the communication, collaborate with team for their engagement and keep them informed for any changes that may affect the progress. Recognize and share success story of each achievement that would give energy to entire team. Wherever necessary give refresher, trainings and insights on each accomplishment.

5 Balance and recharge

Meeting deadlines can be stressful and exhausting. You may feel tempted to work long hours, skip breaks, or sacrifice your personal life. But this can harm your health, productivity, and creativity. Balance and recharge your energy by taking care of yourself. Set boundaries and limits for your work time and respect them. Take regular breaks and do something that relaxes you, such as stretching, meditating, or listening to music. Get enough sleep, eat well, and exercise. Remember, you are a human, not a machine.
