Clearly communicating the goal and translating the lean terms into simple language and graphical displaying some of the aspects will help create a picture of what is happening onto everyone's mind. It becomes easier to implement 5S when you display all stages on 5S where everyone can see and I reminded of what must be done when the look at the picture.

That way, the sponsor of any Lean iniciativa has to communicate well the benefits, expecations and efforts.

As a lean leader, having an open mind is critical to effective communication. There is a lot of value in asking for details during a conversation. For example 1. The team member says “We always miss the OTD”, it is good to ask the definition of ‘always’. Items that a lean leader likes to place on a parking lot might not even need to be there if always is 5% and on a value stream that we do 5% of the time. 2. The sponsor says “Ok, let’s have a 5S event next week”. Use any project planning tool and get the details. Engage in a conversation to define the expectations and provide a forecast for cost & time. In both the above cases, your engagement and involvement stands out. If you are sincere, you would have won the communication game.

You must have the skill to read through the data, see what you generally do not see, look for different perspective and related that with the problem statement. Understand the data before you start using it for your projects. Make the data speak about the core issue and let the data also speak about the improvement that your team has done.

As a leader we aspire to have individuals and teams: Define the challenge-what is the problem statement? Measure the challenge-how big, how small is it? Analyze the information or data-what does it tell you? Improve the challenge-how could we improve it? Control the problem-what measures, changes can we put in place to ensure the improvements are working, or will not come up again. Personalizing the tools to make them useful and challenging the team by asking them to follow the DMAIC is a good start at changing how we address challenges.
