This may be a controversial view but I am a firm believer of keeping things simple - just because we live in an era where there is an app or a software feature for pretty much every single thing you can think of, it doesn’t always mean it’s necessary. As a small business, don’t be fooled into thinking you have to invest in any of this or especially not anything particularly expensive. Think about what you realy need to achieve, now contemplate of the ways this can be accomplished- if the objective is multi faceted you may need a particular software system or app to assist with gathering data and streamlining the process overall but otherwise, you may be able to establish your own internal systems for free! Excel - the best project management software, cannot think of anything better. It still takes a human to run projects properly.

There are some downsides to such softwares in general: 1) If a task is assigned to an employee, they might reassign it to someone else and this process might continue indefinitely. The admin cannot keep track of all the changes. 2) The software only works if everyone in the company/team checks and updates progress regularly. If someone forgets to update that a task has been completed, there can be a delay in the development process, wasting precious time and money. 3) Just having a software is not good enough. Everyone must be trained on how to use the software effectively for maximum efficiency. Having no software but and an efficient work process is better than investing in a software but losing the efficiency due to lack of knowledge.

I have seen and worked with a number of tools and was not blown away by any of them. From my perspective the most important thing is the consistency of the methods, stakeholders buying into it and that they are used consistently by everyone. This ensures that there progress is tracked, everybody is kept up to date. Doing this for all projects firmwide is a big job which i have only seen in one company where it was only working because of one PM pushing everyone. This is in particular true for a small companies which do not have the budget to buy expensive pm software and may lack the budget for expensive integration. So invest into people and their training that will deliver better outcomes on the project side.
