You're planning an event for a nonprofit. What can you do to make it a success?

Make people want to be there. Have presenters/guests that people will regret missing the opportunity to interact with and exchange contact information.

Plan your work and work your plan. No nonprofit event--from an in-person gala to a virtual fundraiser--will be a success without concrete planning. Marketing and fundraising calendars are best as you'll be planning for these events generally months out. With a calendar, you can plan when to market the event, who will be handling which aspects of it, and where to resource needed materials. Live events generally require tons more planning, so if you're a very small organization, consider if the benefits are worth the time and extra work. Maybe an online fundraiser will be less time-consuming and raise more funds w/out having had to spend money on a gala that may or may not raise similar.

If you are a volunteer for a nonprofit who has been tasked to create/plan an in-person event, I would start with partnerships. Partners will help in many ways including underwriting an aspect of the event (venue, food, beverage, entertainment, etc), they can help market their participation in the event which can draw additional audience members, and they can help serve as "labor" during the event itself. Bring key partners into the planning process to ensure success, reduce costs, and help with marketing.

Always think thematically. When I was working at the Democratic National Committee, we did an event at the New York Historical Society. They were able to curate a special collection of items for our guests, including a letter from Thomas Jefferson to his daughter saying that she should write to him more often. With former President Clinton as our keynote, it provided a special moment of connection that he adlibbed in his remarks when he commented that he keeps saying the same thing to Chelsea. We also curated a presidentially-themed menu that further connected our guests with the guest of honor as the main course was served at a White House State Dinner during the Clinton Administration. Those are the moments that make it memorable.

Selecting the right venue and date can be important. If their event is smaller or complementary to yours, they might be willing to share facilities.

Many nonprofits contact us to hire a celebrity level music artist after they have selected their venue. Unfortunately for many organizations, the time to discuss a celebrity level performer is during your venue selection, not after you are commited to a venue. Many “wish lists” of celebrity performers that clients bring us are immediately shortened based on the venue selected. That’s a shame. Experienced planners consult with us prior to contracting the venue so that the entertainment and production options can be addressed simultaneously. Being limited in your entertainment choices because of space, stage, rehearsal and/or setup time not being available are issues that may be avoided when addressed early on when selecting the venue.

Accessibility is a key component, to include everyone and make sure the event is for the beneficiaries too, many times I see people organizing non profit events and there is no way that the people who they are collecting for, would or could enjoy the event. So plan ahead about the inclusion factor and make your event as accessible as possible.

Other than the obvious answers, but you’re all very valuable. One thing that I tried successfully was to task each board member with selling a specific number of tickets/tables, etc. Also ask staff volunteers to do the same. For non-board members we had a competition and wound up selling out the entire event for a $100 gift certificate prize.

In marketing try to use human centered approach, make people relate and work with marketing companies who have worked with non profits before. Don't forget there is a big resistence on the market because of the lot of scams, so you need to be bold to be 100% transparent to deal with all the objections that people have when it's about charity or donation.

1. Develop a detailed communication plan: Create a timeline with tasks and responsibilities clearly defined for all team members involved. 2. Utilize a marketing strategy: Promote the event through social media, email campaigns, press releases, and other channels to reach a wider audience.

Decide what your end goal is for your communication strategy. Do you want to attract people to the event? Are you trying to solicit sponsorship? Are you trying to sell tickets? Do you have a goal of creating relationships? Once you have your end goal, you'll be able to tailor your messaging in order to achieve it. Next, decide how you want to shape the story that you tell and make sure that it's cohesive across all platforms. If you're advertising on social media and also trying to get press coverage make sure that the narrative coincides with the message trying to send. Avoid sending mixed signals to the public. Define your voice and lead with it. And use spell check!

One thing I've found helpful is to recruit volunteers who will invite their networks and bring in attendees. You can plan the best event ever, but if nobody attends, it is not a success.

Highly motivated volunteers with some good direction are much better than skilled event workers who don't care about your cause. I've seen this first hand when our event was adjacent to an event competitor. They hired local event staff and we used volunteers. Our volunteers didn't have the extensive experience, but they cared and felt ownership for the event. A non-profit can expand it's reach through volunteers. Some can't give financially, but they can contribute their time and passion. Recruit them. Value them. Train them. And show appreciation often--during and after the event.

I agree - With regard to those who lead up front, have people who can engage a crowd and lead them through the event effectively. Nothing kills the great work of a charity more, than an awkward, totally scripted communicator and a volunteer host who tells jokes they found on google. ;) Choose your upfront people well.

If at all possible, have your sponsor(s) cover all the operating costs of the event. This serves 2 purposes: first, it relieves the pressure on the organizer to rely on fundraising to cover costs + the intended "profit." Secondly, it puts the sponsors in a very positive light, as you can cause market the message that, "Thanks to the generosity of Company X paying all of the event operating expenses, 100% of the funds raised will go to support our mission of...." - fundraisers and donors will like that a lot.

Events are tough. If you’re looking for revenue, adhering to the best practices of fundraising can pay off more than an event. If you’re looking to build awareness, an event may be the way to go. Be cognizant of the time spent on planning.
