You’re a Payment Systems professional. How can you make your workday more efficient?

Have a plan before you start your day and try to minimize the interruptions and fire drills. Which is a challenge for many. But in that plan include time for yourself. With WFH so many people fall into the trap of getting up, opening laptop with a coffee and then it's 530-6pm. If you are productive early, maybe work then hit the gym, or do something else later in the day. I've been trying to follow Carl Pullein's time blocking method. Scheduling time for project work, communications, Admin, etc...

Schedule your day around Productive Time. If you do your best work in the Morning - block out time for creating agreements, marketing materials, pitches, P&L reviews. Schedule less thought-intensive work for a later part of the day and use that time to send correspondence, to prospect, to have internal conversations and updates. End the day by creating a list of what needs to be accomplished tomorrow and plug it into the proper day-part on your calendar.

Take time at the end of each day to reflect on your accomplishments, challenges, and areas for improvement to Identify what worked well and what could be done differently, and use this feedback to iterate and optimize your workflow for greater efficiency in the future.

Automating workflow and integration should be of HIGH priority for payment systems. Wherever a manual process exists, scope for error, breach, risk exposure, brand damage is high. Single point sensitivity controls should also be in place to reduce scope for internal fraud, with oversight safeguards and compliance team established, with Board oversight. Dashboards are incredibly useful to monitor transaction levels, $ value spend and disbursements to Bank accounts. These should also be automated and viewable within the inhouse platform. A RED FLAG Dashboard ashould also exist for any identified HIGH RISK areas and actively monitored.

Payments are always evolving and in Australia right now there are huge changes as RBA seeks to make system more transparent, competitive and open. We have seen huge movement in A2A payments, NPP lift-off finally, new entrants - BNPL and further innovation coming in from the international players such as Stripe, Adyen and Paypal. To add to the mix virtual wallets are taking off and digital payments on Smartphones, Samsung Pay, Apple Pay and Google Pay. With a $1 billion paid out each year in fees by consumers for card based convenience it's a great time to be in payments. Updating your skills in this environment is the way to go. In the payment industry, maintaining data security and PCI compliance is paramount to business survival due to the sensitive nature of information involved in payment processing. However, the escalating number of data breaches, fraud incidents, data losses, and non-compliance issues poses unprecedented challenges. Relying solely on traditional encryption methods, VPNs, and basic protection measures is inadequate in the face of evolving threats. Deployment of AI/ML modules with a focus on data privacy and secure handling is imperative to enhance security measures.

In the current environment cyber hackers are using AI tools to mount new attacks on organisation's systems. Companies need a risk strategy, investment and a compliance team to oversee the safeguarding of their business systems and information. Many Companies are moving to "industrial strength" cloud systems. such as AWS, to reduce risk and ensure safety of their data. Google Drive is really useful, I agree, to store data and restore later in event of disaster. All card data needs to be protected and personal details. Each organisation should consider how they intend ensuring transaction security (in conjunction with their PSP). This requires encryption. Tokenization is the recommended security protocol for processing txns (CNP space).

While ehacks and ransomware is gaining ascendency in exploits, don't neglect your talent security - several of the most notorious and damaging losses had a human social engineering aspect which opened the door (literally) to exploit their environment from the inside.

Data security play a vital pillar in what we call payment life cycle - from who initiated a payment, security and privacy of channel transfering/converting payment (encryption of sensitive details) and to the time it reach the designated end (distination)- as a result of decryption. There has to be separate access level depending to the size of transaction as a result of viable approvals. So, security is crucial from WHO initiated, WHAT channel used and WHO is receiving. The comcept of C-confidentiality, I- integrity and A- aunthentication and Availability is crucitial at all the time.

? Continuously Improve Processes: Regularly evaluate your workflows and processes to identify areas for improvement. Look for opportunities to streamline processes, eliminate bottlenecks, and optimize efficiency. ? Delegate Tasks: Delegate tasks that can be handled by other team members, freeing up your time to focus on high-priority projects or tasks that require your expertise.

Because payments are a 24*7*365 businesses it is important PSP's have communication protocols established for timely updates to their customers, partners, suppliers in the event something goes wrong. As a recent example, McDonalds were unable to process EFTPOS transactions recently in Australia for many hours (no lunch). The impact here is HUGE for their customers. Providing updates is important, otherwise huge brand damage can occur. I like surveys of customers to get real data driven feedback on what they think with a CSAT score. It gets org focused on what they think vs what the customer really thinks, eg SurveyMonkey, Google Forms good. I like Google Chats (Bunker) or MS Teams when addressing supply chain providers and partners.

Always ensure you are working with a well trained team to ensure credibility of the payment partners, increase operational throughput and reduce overall system downtime.

Automate every error condition you can possibly identify when you create the interface between your payment processor and your backend system. Assign each error condition a severity so you focus first on risks to the business, not irrelevant minutiae.

In addition to data security, the importance of financial controls can't be overstated and sufficient robust controls should be in place for the authorisation of payments, the setup of beneficiaries and the segregation of duties/permissions within the payment environment. The controls should be systemic thereby removing the chance of human error and limiting the damage that can be done by malicious actor.
