Make sure the right stakeholders are invited and present on each call to discuss / negotiate terms. It's frustrating when a decision needs to be made and the right decision makers are not on the call to discuss. Don't expect a real time decision on the call on every issue. That's unrealistic. But if the right decision makers are involved in the discussion, they can make better informed decisions.

Building a power map is the first step to clear negotiation communication. A power map will highlight the needs of each stakeholder, as well as the influence they hold over the deal. From there, you need to speak to the concerns identified in your power map.

My company uses Webex as a communication tool and for more complex contract negotiations, I have found it helpful to create a chat group (called "space" in Webex) for all internal stakeholders in the negotiation. This tool helps to lighten the number of emails and supports easy feedback and quick decision making. Everything "official" and in communication with supplier goes via email and in meetings still, but for the internal alignment this works like a charm!
