One can never be fully prepared when dealing with senior management so one has to be proactive and should be adaptive.

Communication is the key while interacting with senior management. You got to make absolutely relevant points without being verbose and always have data points to back your thought process.

Clear and proactive communication is essential in managing senior stakeholders. This involves not only keeping the boss informed about successes and failures but also managing the flow of information in a way that aligns with the boss's preferences for receiving and processing information. Adapting your communication style to meet your boss's needs while ensuring transparency and honesty fortifies the relationship and facilitates smoother decision-making processes.

Communicate often and allow for input. If Stakeholders begin to complain about the frequency of meetings, this opens the conversation to renegotiate frequency if needed. Be mindful of the time needed for meaningful conversations when establishing a cadence. Consider the audience and complexity. Set up a short series to start (weekly series for 3 weeks vs weekly cadence for 3 months) then adjust as needed for the next series of calls. It is better to over serve, than under serve in my opinion. Time can be given back easier than reserving it later in the process.

When stakeholders are disagreeing with eachother, it is sometimes necessary to take a step back from 'solutioning' with them and encourage them to focus on aligning their expectations with eachother before you can go ahead with finding the best solution together. Knowing when a problem is not for you to solve, but one stakeholders must resolve before you can step in can reduce time, help stakeholders understand their role in making things work and ultimately builds your credibility and trust with them in the long run.

A massive lesson I’ve learnt throughout my years is things change don’t be afraid to change the plan if it doesn’t suit the new circumstances. So many times I’ve seen but how is that gonna line up how will that work with that. It won’t so let’s change. Don’t focus all the energy on trying to bend and make something fit. Cut your losses and start again quick and fresh. This is where your job comes as a communicator if you set those expectations from the start and make those bold statements they will have trust and faith in you so if that time comes that you need to make a whooping big change (and hopefully it never comes) but if you do you’ll have the stakeholders already prepared and ready to crack on with you for a new outcome!

Understand and share the impact of each, but also be prepared to hear other suggestions. Sometimes the solution is a mix of everything you've suggested. If you need to leave the meeting without a resolution, let your stakeholders know how you will communicate your findings and how the decision will be made (e.g. if everyone has agreed an outcome pending further information, perhaps a quick email agreement is acceptable so another meeting isn't required).

Consider all angles of implication and potential mitigations to address as well as other considerations 4. Listening to stakeholder feedback and addressing concerns promptly. Document all follow up 5. Adapting plans as needed while maintaining alignment with stakeholder priorities. Pivot as required if buy in is in place and 6. Proactively managing expectations through regular updates and honest conversations.

Remember that you’re not a computer. It’s entirely possible that even after extensive preparation and doing your due diligence that someone will ask you a true curveball. Prepare yourself for this mentally, stay calm and be confident in saying let me get back to you. It’s far better than trying to bluff your way through something and doing it poorly. You are human like everyone else.

Often, some signs or patterns precede difficult behaviour from stakeholders. Lack of engagement / unresponsiveness can suggest your stakeholder has disengaged. If a stakeholder provides conflicting feedback or frequently changes their mind, it may signal that they're uncertain or have conflicting priorities. For both, use the appropriate escalation channels and raise concerns in governance meetings that are documented.

The project timeline span is critical especially for medium to long term projects. All projects can start with the right intent and momentum.. however it's critical in medium to long term projects to visit and re-evaluate the project progress to its initial intent and alignment with current and future business priorities. Then review, amend and realign scope if necessary.
