A timely question in the middle of event season, managing multiple events around the globe..! Create timelines and checklists, and use project management tools to track tasks, deadlines, and responsibilities. Identifying potential risks early and conduct thorough assessments to forecast challenges that could impact the event's success and develop contingency plans. Finally, as a comms person I have to say it - communication within your team is essential. Establish clear communication channels (WhatsApp groups are great) for sharing updates and raising any issues that may emerge. When the team communicates openly, it fosters a collaborative environment that is agile in responding to challenges.

Managing events is an exciting journey filled with surprises! In this environment, I tackle unforeseen risks with a proactive mindset. I begin by conducting risk assessments to identify potential issues, from venue logistics to technical glitches, and I always have backup plans in place to handle any last-minute changes. Clear communication with my dedicated team and vendors is vital for quickly addressing any problems that arise. Flexibility is essential in this fast-paced field—I’m always ready to turn challenges into opportunities for improvement. Start with a risk plan that includes potential scenarios and quick solutions. Train the team so that each member clearly knows their role during critical situations. Allocate extra budget and resources for quick adjustments when needed, and use digital tools for precise event tracking and coordination. Maintain continuous and transparent communication with team members and participants from start to finish.

Preparing for unexpected event challenges starts with a mindset of anticipation and readiness. I plan for flexibility by creating detailed backup scenarios for each critical part of the event, from venue logistics to tech needs. I build a reliable, cross-functional team that knows their roles inside out, so if things go sideways, everyone can respond quickly and effectively. Clear communication channels are key—I set up a real-time messaging system so the team can stay connected no matter what’s happening. On top of that, I make sure we have quick access to extra resources like equipment or staff, just in case. Planning for the unexpected isn’t about expecting chaos; it’s about knowing you’re ready to handle anything thrown at you.
