Tracking timely achievement of project milestones helps to measure efficiency of design team. Measure each phase like concept, detail design, prototype & final review. Check whether they are completed within timeline or not. While measuring efficiency we must check accuracy and quality of deliverables, response to design changes and issues raised. Regular assessment of resource utilization will gives us comprehensive efficiency analysis.

To measure the efficiency of an engineering design team, you can track project completion time to identify delays and understand their causes. When we set the milestones, it means we have already mapped the workflow of that particular project or Product. These milestones should be practically achievable and should have a defined outcome and should have a check list to ensure the quality of the milestone. It helps to clearly monitor the progress of the project and also helps to identify areas that need help and attention.

To measure the performance of the team, you shall first identify the KPIs either already identified by the company or you can setup based on the project team. Examples of the KPIs 1. The project needs to be tracked at all stages of the project lifecycle. We have to set a deadline inline to client's requirement in order to achieve the milestone at each stage of project viz. concept design, detail engineering, final review etc. Also the quality and accuracy of deliverables needs to ensured by timely review of the deliverables.

Define clear quality benchmarks that each design must meet (e.g., error rates, adherence to design specifications, and performance metrics). Periodically audit the designs for quality. Efficient teams maintain high-quality output with minimal rework.

Implement peer review sessions where team members review each other’s work. This enhances collaboration and allows the identification of mistakes early. Efficient teams produce fewer corrections during peer reviews, indicating higher initial accuracy.

In a project, time tracking is very useful if we have comparisons from the previous project or other similar project about how much time is usually spent to accomplish a task. It's important to keep it not too optimistic or too pessimistic. It's also better to breakdown the tasks and the personnel in charge for them so that the tracking becomes easier. The root cause and solutions if any delays can be decided effectively. Management can accurately add resources (e.g., manpower, software, etc.) to the right place.

Cycle Time: Quantify the duration required to accomplish designated tasks or deliverables within a project's scope. Shorter cycle times frequently signify enhanced operational efficiency.

Use time-tracking tools to monitor how long team members spend on different tasks. Efficiency is measured by balancing the amount of time spent and the complexity of tasks without compromising quality.

If you are working on an agile project methodology, client feedback is extremely helpful, as you can design and prioritize features. It is important to keep limits for the health of your team and your scope, mostly in traditional project methodology.

Collect client feedback regularly to assess the team’s performance in meeting client expectations. Positive feedback, especially regarding timely delivery and quality, is a sign of an efficient team.

It's important to involve all personnel in seeking ways to optimize workflows. The team leader must actively listen to any ideas that often come from the personnel that work in the workflow on a daily basis, rather than the team leader or manager, and conduct a session to share the ideas to get feedback from all the teams and implement them.

Learning and Improvement: Measure how quickly the team learns from mistakes and implements improvements. An efficient team continuously refines its processes.
