You're juggling multiple philanthropic projects. How do you ensure each one meets its deadline?

I am often surprised by how little time and effort some people put into this process. The beginning, the planning, the pre-work often gets little or no attention. Map it out, consider the tasks/initiatives thoughtfully. Consider your energy. When are you at your best? How can you carve out uninterrupted time? Who can help? And, more than that, who will gladly help? Often, there are tasks that can be checked off/completed quickly. Are there some you are dreading and can’t move on? Are you assessing if all remain a priority? On the tough tasks, I like to give myself and others rewards, incentives. It’s like a colleague of mine who once, for an early morning walk, had only one question, “What do I get as a reward?”

Imagine your day at work... Now imagine the demands of a work day of someone, say an American President. Our country's 34th president spent a lot of time thinking about the nature of work as a career-long leader in service to our country. President Eisenhower articulated that all work boils down to four categories and a leader that manages these four categories astutely is going to be an astute leader (Google Eisenhower Matrix). When you think about all a work day throws at you in terms of which of the four categories your projects fall into, work demands start to seem less daunting and work life improves. Give it a try.

It is important to see the big picture. Juggling multiple projects is not a piece of cake and you'll easily get burned out if you try to multitask. Prioritizing tasks gives room for reflection and dialogue between you and those involved in the process of this project. Once you have a clear view of which comes first, second, and so forth, then you are ready to begin with these projects. Without prioritizing tasks, it is as if you are entering battle without wearing your armor properly. Knowing which tasks to do first and which to do after that is a skill. It takes practice to rank tasks properly but it is something that is much needed if you want your projects to succeed.

Then come the out-of-left-field requests for work/support/collaboration you never planned on and on top of it you have all these tasks that you want and need to get done to push yourself and your department ahead. Sound familiar? Free software can help alleviate the anxiety created by a scenario like this. For me, it's ToDoist. It works on your phone and desktop. Input every task. You can group and sort them for a logic that makes sense to you. Gone are the posted notes all over your computer screen, (which is a good thing, because it signals you're not using available technology to simplify your life).

Set weekly meetings and allow smaller groups to have meetings among them as well. Encourage collaboration too among members as this will also enhance creativity.

I find that flexibility is the key when managing a variety of projects. What might have been most urgent initially may not be in 2 weeks or month. Being flexible allows you and your teams to stay focused on projects while adjusting workflows tomert ever changing deadlines.
