You're having trouble getting your team to collaborate. How can you use team facilitation software to fix it?

Software for team facilitation is something I never thought of, because before using software for this purpose I believe it is necessary to work on a behavioral culture with the team that is focused on psychological safety, collaboration and results. Any software application considered can be a complement to facilitate practices that promote these aspects. Team agreements, retrospectives and 1:1 feedbacks are practices that improve engagement and increase team synergy. Therefore, facilitation software would only be tools to enable or optimize these practices.

I suggest focusing less on the facilitation software and establishing a safe space for your team to collaborate openly and honestly. I'm a big fan of customizing retrospectives, workshops, and meetings for the occasion and the topic(s) you wish to address as a coach to the team. Facilitation software can help with ideas, providing templates and techniques to help you drive toward the outcome you seek. But first, think about the outcome you are looking for, the positive direction you'd like to take them, and creative ways to help the team collaborate authentically.

OK, let me say this clearly: having a well designed, functional Software ready is a plus for Team collaboration. But without a proper collaborative mindset amongst the team members, there is no collaboration ging to happen, no matter what fancy SW you have in place. And this mindset is sadly not something easily startend with a speech or kick-off. It has to be learned, trained and lived for a long time, since I personally think our education and society mostly teaches and fosters competition over collaboration. BUT a well designed tool can help a long way when trying to teach and live the advantages of collaboration.

As the use of any new software means change and difficulty for participants, it is important to check before the workshop that everyone can access the tool. Often companies block certain websites or software and it would ruin the whole experience if some people could not access the software or had problems with the video or audio. That's why I always do a tech check beforehand - also for myself, to see if there are any updates I'm not aware of and to familiarise myself with the tool. You never stop learning. Apart from that, of course, the functionality of the tool depends largely on what I want to achieve as a trainer in a particular workshop. For me, less is often more.

If you want people to collaborate, they need to practice collaborating. Team facilitation software can make this possible across geographic ad departmental boundaries, but it will not MAKE people collaborate. For that, you need to find something to practice working together on simulations and situations BEFORE they do the real thing. Look for team facilitation software that allows for breakout rooms, role play functionality, deep thinking situations ('what would you do if') and other areas where people can practice working together. Then they are ready for the real thing. You can't just say, "Start collaborating! Here is a tool, so use it!" If you look at astronauts, athletes, pilots etc., they use collaboration in the preparation stage.

I look for user-friendliness and access. There should be a good, free way to register and participate. Moreover, I look for an easy "drag and drop" option to insert slides, links, pictures, memes etc.

In my experience once you start using facilitation tools, people matter much more than tools. Good luck trying to run interactive sessions without the appropriate tooling, but I’ve been to terrible sessions using Miro, great session using Miro, same with Whiteboard etc etc. the differentiator is the facilitator, their presence, their character and their willingness to create the right environment. Lack of prep shines through (setting up at the start of the session whilst we are waiting and watching isn’t great…), but the right person running the session will outperform any tool

Review personalities in the team. Do they talk to each other? Do they trust each other? If not, find the root cause. People come first before any software. If I am a biased manager and my actions are very different from what I say, my team will never collaborate.

Deixe pronto o material impresso presencial, na ordem, com materiais e deixe um espa?o dedicado no online para as pessoas do remoto. Coloque as pessoas no centro: é nítido como as pessoas se engajam com a interlocu??o de idéias.

As long as the team members are respectful, supportive and considerate of each other, this can work. The trouble will occur if there isn’t a facilitator who can watch for someone who dominates the ideas or not getting input from everyone. Everyone must have a voice to have successful collaboration. Trust and understanding each others communications styles plays a big part.
