I think nothing beats a good 'ol phone call, a face to face meeting or video call. Start with listening. Listening to understand the views so you can then clarify points taking them one at a time... I then share my views which I follow up with an email or any written form articulating what's been agreed, timelines and RACI so all parties are clear on next steps. Works every time.

To navigate conflicts arising from misinterpreted messages with external vendors, begin by addressing the issue promptly and directly. Open a dialogue to clarify misunderstandings, ensuring both parties have a shared understanding of expectations and goals. Actively listen to the vendor's perspective and provide constructive feedback to foster collaboration. Establish clear communication channels moving forward to prevent similar issues and strengthen the working relationship.

1. Review all communications to pinpoint where the misinterpretation occurred. 2. Reach out to the vendor directly through a call or video meeting. 3. Maintain a calm and professional tone. Focus on finding a solution rather than dwelling on the problem. 4. Keep a record of all communications and agreements. 5. Ensure that both parties understand the agreed-upon terms and next steps. 6. After resolving the conflict, follow up to ensure that the solution is being implemented as agreed. This way you can effectively manage conflicts and maintain a positive working relationship with your vendors.

To navigate conflicts with external vendors over misinterpreted messages, clarity and open communication are essential. When facing a misunderstanding on project deliverables, I set up a call to clarify expectations and document each step moving forward. For example, after a miscommunication on deadlines, I created a shared project timeline with clear milestones and responsibilities. I also followed up with written summaries after each meeting, ensuring everyone was aligned. This approach minimized future misunderstandings and established a proactive, transparent way to resolve issues, fostering a more collaborative relationship with the vendor.
