I have faced this before with a tile supplier. The issue was communicated to the supplier verbally and in writing. A comprehensive report was prepared including photos and was forwarded to the supplier. Several meetings were held to solve the issue and prepare a plan to replace the tiles and mitigate the delay. All the costs incurred from this were deducted from the supplier. Of course the Employer and the Engineer (Consultant) were in the loop until the issue was solved.

Vendors who requires business continuity shall be delivering materials as per the agreed specs in the PO failing which their PO shall be cancelled and replace with potential suppliers as quality can not be compromised. However all actions shall be in accordance with the terms of the PO where in a notice shall be served for corrective action to be concluded within the specified time

Communicating with your client is important. Let them know the issue and find creative ways to get materials ready. This can searching wholesalers who can provide alternates for the project Checking with the consultants and the owner to ensure the specs are OK And doing what it takes to get the materials ready on site.
