To solve a problem you need to define it. That's best done through acquiring relevant data and finding out what the true baseline is. If you measure accurately to start when you finish you'll have a real way to assess the change and improvements in a quantitative way. Failure to measure accurately is a common problem at the project end when delivering results to executives who are interested in the ROI.

We had a big problem related to the lead time for new products. Upon investigation, we figured out that most of the delays are transactional like waiting for approvals, loops, hand offs, etc. What we did was to set rules and automate the rules so it will not be based on human interventions anymore if this is purely transactional. We have reduced the lead time for new products from about 120 days to 45 days.

Investing in automation can reduce hours spent on certain processes and ensure a standardized output. It allows you to shift your focus to matters that require more human interaction and intervention. There are many systems and applications that can assist with administrative and repetitive tasks. In my field of work, we would need to issue out contract to our clients almost on daily basis but with automation set in place, we would be able to focus on other tasks than the issuance of contracts manually.

One thing I find helpful with collaborative platforms is that it ensures real time data. It improves the compilation of data while minimizing redundancy and inconsistency of the data. At the moment, we’re actively using the SharePoint for updates and tracking. It’s reliable and hassle-free, offering a seamless experience that ensures dependability without any complications.

Even before pandemic, we have started to use collaborative platforms to facilitate the problem solving activities that we are doing as a team. Not only it enabled a flexible way to move forward but also reduced delays due to problems related to scheduling a face to face session for the team.

Even before the pandemic, my previous organization have considered using collaborative platforms for to make work for project leaders and team members more productive and effective. These platforms take away the redundant work and provide more value added time in the entire complex problem solving process. Example is the use of project management softwares specific to the project type. Another use case is the use of MS Excel VBA macros or RPA (Robotic Process Automation) to make work easier and simpler.

We adopted a CRM to visualize our processes in a Kanban Board and identifying gaps couldn't be easier. The long term insights a Kanban Board can give are priceless and with a clear vision of the steps and statuses we can adjust and be flexible with real time strategies to face any emerging challenges. It is really valid to apply for technologies where we are able to divide big problems into smaller and more manageable tasks. Its clear UI transforms caos in order and allows us to be focused and align with the main goal of our projects.

In my experience, it is not about how complex the project is but most often than not, it is more about how effective the project management being practiced. I had some simple projects related to complex problem solving that seems very simple but because there is not appropriate project management applied, did not go well. I have projects of the same nature that is more difficult but ended great. Again, the difference that I have seen is the level of effectiveness of the project management applied.
