We've built an entire dashboard using Notion and it's my favorite way to manage each podcast project. You can create templates for every episode which saves a ton of time and helps you stay organized. Some things I template include pre-call notes, episode format, and show notes. I also use Google Forms for guest intake and to collect headshots, bios, and other details needed for the episode marketing and promotion.

I love the idea of incorporating Google Sheets & Trello into your planning tech stack, but my favorite way to start the organization process is to create an outline using the most reliable tool there is: pen & paper. If you're doing podcasts remotely, Find an "Asynchronous Recording Platform" That's a fancy way to say NOT ZOOM. You need a platform that isn't at the mercy of your internet connection if it has instability. Riverside.fm is our preferred platform because of their customer service. For once, the AI question asker here is right, Audacity is an INCREDIBLY powerful, free tool for audio editing and it's not too hard to pick up. Beware AI clip selection. My experience is that ~1 in 8 is Good, and 5-7 make you scratch your head as to why that was picked as a highlight. Don't lean too heavily on AI.

One of my favorite post-editing tools to give your audio a professional sound is Auphonic. After making technical edits, import the MP3 into Auphonic to balance the volume and upgrade the quality of your audio. It's especially helpful for balancing the audio when different studios are used for podcast interviews. It will minimize most background sounds, but its most useful feature may be achieving consistently rich and full quality audio from one episode to another. It's an affordable pay as you go service, with two hours of production free every month.

Adobe Podcast (still in BETA mode) is also great for editing. It allows you to edit your podcast using the transcript, making editing so much easier. A lot of creators often don't think of their platforms as businesses but in the distribution stage also think about marketing and sales tools that you can integrate into your business. Think HubSpot, ZohoSocial etc. These platforms not only allow you to track engagement across your socials but also prepare you to be able to track, leads and potential revenue that could be generated from your podcast audience. So think about what else you can include outside of brand sponsorships and then create your sales funnel and prepare to track your customers journey from your podcast into the different monetization options you can implement

My overall suggestion is that your first season is a trial period. This is the time to listen to your audience. Therefore invest in a good mic, and find free tools to use for editing (Audacity, Adobe Podcast), distribution (Spotify for Podcasters) and marketing (Social media platforms). Your trial period will show you where your money is. It might be in apparel with quotes from past podcast episodes. Or it might be in hosting live shows. This way, you know what to invest in going further.
