This is absolutely crucial when hanging around a VIP. VIPs get pampered all the time, and if you're acting the same, you're not going to stand out. Limit the compliments to genuine ones only, and control your excitement so you don't act super giddy around them.

The following points to be persuade. 1) Constant follow up. 2) Follow up of their arrival time with their close Alie. 3) Instead to waiting for their updates, host should have proactive module, like things being ready once they arrive & till the time, they are late they can have some engagement activity.

Handling a late VIP guest at a conference opening ceremony requires a blend of professionalism and quick thinking. Here’s how I’d approach it. 1)Stay Calm and Collected: Maintain composure to reassure the audience and the team. 2)Communicate with the Team: Inform the event staff about the situation so they can adjust any plans accordingly. 3)Engage the Audience: If there’s a delay, fill the time with engaging content—perhaps a brief introduction to the conference theme, or a short video or slideshow about the event. 4)Update the Audience: If appropriate, provide a brief update on the VIP's status, framing it positively to keep the audience engaged. 5)Create a Backup Plan. 6)Welcome the VIP Gracefully 7)Thank the Audience for Their Patience.

Please find my comments below: 1) Personalize the experience: Consider the VIP's preferences & needs & make adjustments to accommodate them.?For example, you can arrange for their preferred seating or deliver event materials to their room in advance along with some refreshments. 2) Anticipate needs: Personally welcome & address the VIP needs & concerns proactively to avoid last-minute issues. 3) Communicate clearly: Keep VIPs informed of any changes or issues that might affect their participation & keep them updated on what points have already been discussed in their absence. 4) Gratitude: As a token of gratitude, would thank the VIP by handing over a small memento for gracing the occasion & for their valuable time.

VIP late arrival happens due to their busy schedule and in this situation we need to keep engaged the audience and follow up with the coordinator on ETA . Such scenario can be avoided with strong follow up before event .
