I use my traffic light system - red if urgent, yellow if action is taken but we have some time and green if not urgent. I always asked my Executives for each task to give me the colour, so I would know where to add in my task list. I communicated clearly to assess their priorities and if needed, I offered solutions. I also would have the diary open at a glance to review space/meeting options to be flexible with my suggestions.

Scheduling clashes occur often in this fast-paced world in which we live. To facilitate scheduling and mitigate the effects of conflicting schedules especially when persons calendars are not visible in an application, I ask for 3 times of availability, then narrow it to the time when most persons are free. Another option is to ascertain the critical attendee(s), then build the meeting around their availability.

It depends on the importance of each meeting. The more relevant you have to take part in it . The other one you have to delay your presence in the meeting by sending emails or texting sms while giving reasons for your absence or coming late. Just make sure that you attend the right meeting.
