Based on my experience, when giving or receiving feedback, I try to provide or ask for specific examples, situations that clarify the message, otherwise we often get left with vague labels that don't allow us to grasp what the other person meant. Additionally, once my interlocutor has finished speaking, I validate whether what they said is what I understood.

It is important to firstly address their concerns to know why they feel this way. The feedback maybe helpful to address future occurrences. Stick to time. - Some meetings can be resolved virtually, use email if possible. - A meeting shouldn't be a judgement ground but solutions center. Combination of this will help a better team meeting.

Clarifying objectives is crucial for achieving success. Clear goals provide direction, focus, and motivation, ensuring that efforts are aligned with desired outcomes. By defining specific, measurable, and achievable objectives, individuals and teams can prioritize tasks, track progress, and stay on course. Once the meeting begins, I use the phrase "This meeting will be successful if..." to clarify the objective and deliverables of the meeting. If during the meeting someone diverts their contributions to something different, I ask "I'd like to understand how you see the connection between this and the objective of the meeting?" If it connects, we decide how much time to allocate to it and if not, we refocus the meeting.

If what the team proposes (objective and approach) sounds good and even helps achieve the objective and even exceed what I initially planned then great we will adjust together and integrate those points and remarks before moving on. If on the other hand the suggestion does not fit in the meeting or doesn't serve the objective of the meeting, I will suggest we continue with the agenda then plan another meeting to address the points they suggested, which is certainly important for them and for the project. Always be flexible and listen but it doesn't mean the agenda has to change each time unless the suggestions align.
