This depends on where you are in the process. At the start: a) Define high level problem statements for each business improvement area. b) Document Business Requirements that summarises the problem that needs to be solved. c) Create a scope Tracker for managing scope queries, and use this to drive discussion around change as you progress. d) Use words like 'Must' & 'Could' to help prioritise the business need. In flight: a)Create a 'car park' for use in workshops, where you can note scope queries in a way that keeps your agenda moving. b) bring your scope query to a change control forum, meet regularly with the PM and Architect so this is normalised. c)Refer to your original Requirments & problem Statements. This is your scope.

As soon as the scope changes, the first communication act would be a quick huddle to organize and filter out the changes. This can be done between the relevant stakeholders like business, product owner, Tech and Business Leads, etc. Once the scope has been organized and prioritized the next step of communication would be to the entire team notifying the updated scope. This can be done by updated reports, status calls and email/chat communications. Finally a regular communication should be established to ensure that the changed scope is being incorporated and is progressing without any blocks.

Any scope change or requirement change (additions, modifications, deletions) need to be tracked separately. For instance, say you have a requirement that you have broken down into 5 stories. There is a change in the part of the requirement that is part of Story 3. Instead of updating Story 3, a new Story (Story 3_1) should be created and linked to Story 3. Story 3 can be discarded or updated to Done (based on whether none or some of the changes done for the story can be used) and the effort spent on Story 3 should be considered for metrics. Story 3_1 should be scoped and estimated also considering the effort needed for any rework needed because of the changed scope.

‘Before and after’ flowcharts are essential for understanding changes, as they clearly visualize the proposed alterations and their implications, facilitating communication, stakeholder alignment, and acceptance of new practices and processes.

Smiles... this is like a nightmare. Having to retrain stakeholders but as I mentioned, this involves professionalism hence you have to do your job regardless and handle the difficulties that come with unlearning to relearn, especially in a short period of time.

It is essential to gather the feedback from all team members on any concerns on changed scope and suggestions on improvement. This can be done with retrospective meetings post every sprint where every team member can note down points against different categories like "What went wrong", "What could have been done better", "What should we stop doing" and also the positives like "What did we do best" and "What should we keep doing" Based on the inputs Action items can be created and stakeholders assigned to these.

Establishing an efficient feedback loop is critical for any dynamic project because it promotes continuous growth and adaptation. One issue that is sometimes forgotten is the function of digital technologies in improving the feedback loop. Incorporating project management software that provides real-time feedback and updates can considerably improve the process of dealing with scope modifications. This allows for a more agile reaction to new difficulties while also ensuring that all team members are constantly on the same page with the most recent project objectives and updates. Teams may use technology to not only communicate and work more efficiently, but also detect possible difficulties before they become serious.
