I feel like the people who are truly interested and enjoy volunteer work and philanthropy will reply. Most will even volunteer possible options that can be used from prior companies. I believe in listening to your target audience, and incorporating all ideas so people feel heard. Be open to new ideas and options. I believe in doing quarterly check-ins a far as participation, but annual surveys to gauge continued participation.

Would you buy a Swiss Army Knife if all you needed was a corkscrew? Is a Swiss Army Knife a good alternative to a set of kitchen knives or precision screwdrivers? A Volunteer Management System (VMS) might promise it can do everything: Manage your volunteers; provide a learning management system (LMS); offer a recruitment platform… and… and… But can it do it all to the same standard as your current learning or recruitment system? If you’re on a tight budget a generalist, Swiss Army Knife of a VMS might be a great option. But if all you’re looking for is a VMS that does one thing well (like a corkscrew). Perhaps one with fewer features is the way to go. It’ll probably be cheaper too.
Another consideration here would be how well the tool you are considering works with any other existing software that you use. It might need for instance to integrate with other systems that the non-profit works with. The system might not be standalone and may need to receive or pass on some data to connect seamlessly to other existing tools or processes and is worth thinking about here as well.

Obviously requesting a demo is a great idea but I think using your network-particularly friends who work at similar organizations-will give you real insights into a product’s assets and shortcomings.
Assess your requirements verses the product offerings, Ask relevant qestions during demo and see the fitment. Don't go with gut feeling, ask for trail of 3 months, evaluate extensively, prepare checklist of what you need, what they have, what works and what's the gap. Negotiate to fill the gaps. Check for quality, look and feel, uncluttred User interface ,easeness and online help, and it's value for Money before you make any decision. Its ok to pay few chips more for a well deserving product. Personally I have done this both as buyer and seller. I always offered in-depth demos, listened to pain points, addressed the concerns, offer trails and it worked all the times.
It’s important to touch base with your connections in your industry to set what works for them. But you should always, always, take advantage of a demo. You need to see the product in its working form. And you should request a sandbox space with a setup similar to what you are considering to ensure it’s right for you.

During the demo I encourage you to ask questions about what you specifically want in a program. Your use case might not be on their script, but the sales staff should be able to answer your questions. If they can't get you an answer, that tells you what you need to know about their customer/tech support.

If this is the nature of the organization, it is worth inquiring if such provisions exist with the vendor you're considering. It might just be that the solution you finally settle on mustn't necessarily come with a hefty price tag as well.
I think all of these are important when it comes to fundraising software Another important aspect that I didn’t see was the cost of said software. I would love for something like this to be affordable when it comes to the nonprofits I am working with now, I know that is going to be a HUGE part of whether or not we can afford it. When your nonprofit is scraping by as it is, how do they plan on making this affordable and available to nonprofits who truly put all of their $ into their cause?
Maximize the use of the functionalities - automate what can be done, be that an onboarding process, evaluation, scheduling, resource sharing, or anything you can solve online, and async for maximizing the added value you get from the volunteers. Check the numbers, if your cost of operating the organization is more than 10% of the total funding/value generated [some organizations don't measure impact in money] make sure you look for ways to be more efficient. Also consider access for various roles internal, collaborator, external, beneficiary, and the functionalities available for each. Even more challenging than one cumbersome software is having to deal with several such software in a very limited timeframe and for many people involved.
Take advantage of available learning opportunities. If they offer Zoom meetings to network with other users, or a robust YouTube channel with tips and tricks, your life will be easier.
Ask what systems other local organisations or strategic partners use..not only can recommendations be helpful from people who have used the system in the real world, but having the same system can make collaboration on projects, joined up work and impact measurement so much easier!
Ask the hard question - do I really need a 'bells & whistles' Volunteer Management software program or can I make do using a relatively inexpensive software such as a MicroSoft 365 subscription? In the past 10+ years, the simple solution of linking spreadsheet information to build Certificates of Appreciation for my volunteers as well as using the workbook pages (one for each day of the conference) with columns for each Volunteer task with times going down the axis. I simple grey out the times that volunteers are NOT needed for a particular task. The initial spreadsheet created is from a Google form that the Volunteer completes to indicate which days/times they are available and preferences for which areas/tasks they wish to cover.
