Assess the situation to determine if you can find a suitable replacement speaker. If not, be prepared to adapt your presentation plan. Communicate the cancellation to your audience as soon as possible, and provide them with any relevant information or alternative arrangements. If appropriate, consider rescheduling the presentation or finding a different format that can still deliver value to your audience. By handling the situation calmly and professionally, you can minimize disruption and ensure a positive experience for your audience.

1. Prepare an Alternative Plan: Have a backup plan in place, such as an alternate speaker from your organization or a recorded presentation, to ensure continuity in the agenda. 2. Communicate Promptly: Inform the audience about the change as soon as possible, providing a brief explanation to maintain transparency and manage expectations. 3. Engage the Audience: Encourage audience participation through discussions or Q&A sessions, allowing them to share their insights related to the topic. 4. Utilize Available Resources: Leverage any existing materials or presentations from the canceled speaker to fill in the gaps. 5. Stay Flexible and Positive: Maintain a calm and positive attitude throughout the presentation.

Speaker was a Guest speaker for a reason and we were inviting him or her because of the special knowledge, skills, leadership or specialty that they possess , this really requires to assess the situation whether it can be postponed, can do a virtual session remotely from where they are, if technology has scared few has certainly given ease of doing things too to the larger section of society. You sure can't replace Leaders of the world with some other content or a QnA session. Again it all depends on how important or crucial is your occasion.

Keep calm that what would i do first Then i have to asses the situation to know how i can handle the situation right now with minimum collateral damage, then i have to check with the company policy to see if i can replace the speaker who cancelled with another one, if yes then i will sit down and tell the new speaker what i have told the last speaker about the presentation and possible FAQs, these scenarios may happen with a chance of 1%, u have to make sure of your speaker prior to the event, make sure for things to go smoothly and easy
