Instead of focusing on features or details, focus on benefits and outcomes. How will your presentation help your boss achieve their goals, solve their problems, or improve their situation? Use clear and concise language, and avoid jargon or technical terms that might confuse your boss.
Be very clear to set the tone and context of the presentation. If the context is not set right (or worse, wrong context), the rest of the presentation becomes irrelevant. As an example, if we are doing a business proposal, the premise of the proposal should address a specific problem statement. If the problem statement is not valid, the rest of the solution would be not practical.
One needs to have the clarity for the need and focus of delivering the presentation to your boss or superior. Everyone has their timelines and meeting the target of the delivery helps in saving time and efforts. If the presentation you've prepared is not in line do not mind calling off this presentation and meeting next time shortly.
One way to keep your boss interested in your presentation is to engage with them throughout. You can do this by asking questions, soliciting feedback, inviting comments, or using polls or quizzes. Choose visuals and stories that are relevant, clear, and compelling.
The last part of your presentation is your opportunity to persuade your boss to take action on your ideas. You need to summarize your main points, restate the benefits, and provide a clear and specific call to action. What do you want your boss to do next? Do you want them to approve your proposal, sign a contract, or schedule a meeting? Make sure you explain what steps they need to take, why they should take them, and how they can contact you for more information.
A well-crafted call to action can significantly impact the effectiveness of your presentation, so take the time to thoughtfully design and incorporate it into your slides. It can be highlighting benefits; clear instructions; creating a sense of urgency etc.,
When the audience is disengaged, it probably is already too late. We should plan in advance and insert engagement opportunities through the presentation. Draft your presentation itinerary- broken down into duration, item, purpose, delivery method and engagement opportunities. Imagine being on the receiving end of your presentation, what would you feel about your presentation at the end of each item?
If your presentation is complex and involves a lot of data make sure you include an executive summary which draws out the so-what of your presentation.
