You need to manage your team's schedule. What are the best tools to do it?

Our team definitely takes advantage of a Online calendar system. We have nine people in two different locations that are constantly scheduling client appointments in person, on the telephone or by zoom/teams. We use a color coated system, so everyone knows what type of call it is and where the location is. The times each person are available our time in advance so we know when multiple team members can be on a call or attend a meeting. This has been extremely efficient to manage everyone’s time and maximize the client experience. I wouldn’t know where I’m supposed to be if it wasn’t for our online Calender system.

It also helps to finalise the duration of the meeting, so that many other executives may schedule their further meetings accordingly. Such scheduled meetings come with clear cut agenda, number of participants, who hosting the meeting, who are the participants to be addressed and what are the expected line of outcome. Such meetings start with positive notes like all about available information & its relevance, discussion on future planning and at last what next goals are set to achieve. For addressing common agenda, the creation of calendar is equally useful.

Online calender is always helpful for me and I personally feel very easy to use it becuse it makes everything so easy and fast.

The usefulness of these internal softwares help in addressing success and challenges the colleagues are facing and changes can be made to non achievable targets and more focus of targets that are achievable that bring out the great results.

In today’s extremely busy and technologically advanced world, there is no excuse to use project management software that is subpar. Personally coming from a medical background the software and organizational tools in the workplace were quite antiquated. Tools like teams and notion should be staples in many organizations.

The Indian way is to meet at the coffee or tea for 15 mins in the morning and schedule the day. This will not only help in team bonding but also help in structuring the day

Las herramientas tecnológicas son gran ayuda para plasmar la trazabilidad de la gestión del equipo, sin embargo, por encima de ellas está, un buen canal de comunicación con las personas, metas claras y generar motivación, reconocimientos retribuidos en tiempo libre, delegar liderazgo en el equipo para colaborar en otras áreas y que eso genere una distinción basada en empoderamiento, trabajar más en las motivaciones de las personas más productivo...!

Si bien las herramientas pueden ser un apoyo fundamental en la administración y planificación de equipos, creo importante verificar en primera instancia que es lo que es posible mejorar y cual será el impacto en el equipo y presupuesto que tengan asignado. Es fundamental orientar el trabajo a la optimización y automatización, con lo cual contribuimos a un mejor clima de trabajo, compromiso de las actividades, compatibilidad de la vida personal vs laboral, etc.

Si estás controlando el tiempo de tu equipo es porque algo anda mal en los procesos, en el compromiso y responsabilidad que cada uno de los integrantes debe tener para alcanzar los objetivos. Cualquier herramienta será insuficiente, porque el personal debe ser quien controla su tiempo para lograr eficiencia en sus resultados

Hasta para poder gestionar el avance en programas direccionados de tu equipo, debes tener la clave administrativa "Planificación" los días lunes, revisamos una matriz de seguimiento de responsabilidades, dónde juntos, revisamos los avances de los pendientes (trabajos, proyectos, implementación,) y evaluar (indicadores KPI) cuál ha Sido su gestión, y que soportes necesita (lluvia de ideas del equipo), así como departamental, financiero, gerencial. Las charlas de 5 minutos todos los días, solo equivale a feedback de las importancia de prioridades que deben gestionar para el avance del cronograma.
