You have to give feedback to your client. What’s the best way to do it?

Take the time to plan your comments in advance, detailing particular concerns or areas that you want to address. Consider the client's viewpoint and anticipate any queries or concerns they may have. Provide detailed instances and information to back up your critique, concentrating on observable behaviours, consequences, or results. Maintain objectivity and avoid making biassed judgements or assumptions.Begin the feedback session by emphasising the good features or triumphs of the project or partnership. Recognise the client's contributions, accomplishments, and any areas where their efforts have been fruitful.

As Construction Professionals we have been hired based upon our expertise, experience and judgement. As an industry we have a responsibility to have the difficult conversations, rather than just telling clients what they want to hear. However, ultimately we must remember that they are the client. It is their money and their decision. We are here to make sure they are fully informed when they make the decision.

Focus on the positives: Begin the feedback session by emphasising the client's good qualities and performance. Recognise their efforts and accomplishments, and express your gratitude for their participation and teamwork. Reinforcing the positives helps to establish rapport and keep a good tone throughout the talk.Address any areas of improvement or issues in a courteous and productive manner. Be clear about the flaws you've noticed, and make practical ideas or recommendations for change. Offer support and assistance to the customer in addressing these issues successfully.Actively listen to the client's point of view and be open to their comments and ideas. Encourage them to express their views, worries, and questions.

The client should be following all time and manage the time schedule agreed between parties . If schedule going at time base on work archive according to weekly progress base on percentage from total project the feed back will be positive from both contractor and client .The delay in execution need to feed back for the reason and clarify how to cutch up this delay

When giving feedback to a client, ensure a constructive, respectful, and professional approach. Prepare thoroughly with relevant information, choose a suitable time and place, acknowledge strengths first, provide specific and objective feedback, focus on behavior or results, offer constructive criticism, promote dialogue, maintain professionalism, follow up with clients, and express appreciation. These best practices foster trust, collaboration, and positive outcomes.

In my experience, We need to choose a right time to provide a feedback. Even though the client is stubborn on some of the idea, as a project management team, we need to make the client understand the pros and cons of the decision that the client has made and what all consequence will come in future.

Timing is crucial when delivering feedback. Select a time when both you and the client are calm and focused, allowing for a constructive dialogue. Opt for a mode of communication that suits the nature and urgency of the feedback, whether it's in-person meetings, video calls, or written reports. Tailoring the timing and mode ensures effective delivery and receptiveness to feedback.

Frame feedback positively to foster a constructive and collaborative atmosphere. Highlight strengths and accomplishments before addressing areas for improvement. Adopting a supportive tone and language encourages openness and receptivity, leading to more productive discussions and a stronger client relationship.

At the point of engagement (i.e. at the start of the business) find out from them What Kind of information they want? In what format? When do they want it and at what frequency? Who should deliver the information and who is to receive the information? What is the medium of delivery, and feedback arrangement? Also be conscious of socio-cultural background of your client. With these in place, communication becomes easy.

In construction management context, this should be outlined in both communication management plan and stakeholders management plan, as both plans outline the way of how information are handled (who,what, to whom, when and why an information communication will be performed) . The level of engagement of a stakeholder will also influence the way the information is communicated.

It's also important to follow up with the client after the feedback discussion to check on their progress and offer further support or guidance if needed.
