What's your best communication hack for collaborating with customer support teams?

I get to experience that even the most unified and cooperative team encounters challenges to achieving their goals if they are not given the right tools. In my opinion, the right tool is the one that succeeds in fostering collaboration, transparency, and efficiency among team members. I have seen many teams lose track, miss information, and lose motivation along the way. I found "MS Planner" and "MS to Do" to be the best solutions. Utilizing all the features will allow your team to communicate and share information in a timely manner, track progress and completion levels, and even highlight achievements. The secret to success here is using a real-time and dynamic platform that keeps everyone aligned and motivated.

By my experience of managing diverse multi ethnic projects, i have learned an effective communication hack for collaborating with customers, which is to establish a regular cadence of status updates and check-ins. This helps keep them informed about project progress, win trust, and provides opportunities for addressing any concerns or changes early on. And for all this a shared platform adds synergetic effect.

One of the first things I learnt when I began working was to pay attention to the language of the organisation. It saved me from a lot of communication errors. An organisation is like s country with it's own unique language, culture and shared values. Learning and adapting to these norms are always advantageous for new hires especially experienced hires who are coming with the norms of their previous work place(s). Over the years, I always tell new team members to always read emails and seek advice from experienced colleagues before hitting send. This little act might save you alot of stress.

Have you ever imagined our streets if it were not clear that a red light on traffic signals indicates that you must come to a complete stop? clearly quite chaotic, confusing, delays,and potential accidents. Establishing a guideline means setting clear instructions and agreeing on protocols so that everyone is confidently aware of how to react in every situation. Ex: Customer service dealing with complaints should have clear guidelines to practice creativity in solving problems,confidently escalating whenever needed. Many people mistakenly think that guidelines may affect their freedom in taking decisions & limit their creativity rather than increasing their confidence & empowered to practice authority within the organization standards.

One difficulty for support teams is communicating outside their team. Different teams sometimes use different software. If support sends a bug to product and there's no efficient way to track what each other are doing, that's a problem. Find a way to have a common way to keep all the teams updated through a common application. This would also help solve the problem of what to do when two customers report the same issue, or one customer reports two issues which makes them at risk for dissatisfaction with the product. Everyone needs to be in the loop. Invest in ticketing software that is closest to giving you everything you want so you don't still have extra steps outside the software.
