What is your experience with digital project management?

Very important to not lose sight of the wider, big picture objectives. These will serve as a foundation for decision making and prioritisation. The objectives should be measurable, SMART goals. Equally, you should be flexible in planning and understanding that parts of your digital project may change in time.

Digital project management gave me the opportunity to see things differently. I went from visualizing the work I did as just a stand-alone effort that may or may not deliver value, to a problem solving, value-driven effort that requires a team (me included). The incremental value add has become the major driving force for how I work with and motivate my team(s). A model we used at my previous employment is called SIP (solutions inspired by people), and this helped us create solutions with the users' needs at the center.

This is a crucial place to start because it will define what the project is and why it is being produced. I usually start out with an outline of what is known, for example, the client may have stopped an Account Manager in the hallway and asked to for a quote to create a new presentation. If it is a really large project with a lot of stakeholders who need to contribute to the definitions of the scope and objectives, consider scheduling a Discovery meeting with the stakeholders, decision makers and clients/customers who are commissioning the project and facilitate the discussion to capture the team's vision, purpose, and any important constraints such as events that may drive timing, budgeting concerns, etc.

In my experience, starting with "secondary research" allows teams to become immersed in the client's industry, competitors, corporate history, and economic factors. This grounds everyone in a common understanding of the problem, and informs what "primary research" is required as a next step. For example, primary research tactics might include surveys, user interviews or ride-along studies to understand what users need and what they expect from a design. This human-centered approach places user needs at the center of digital product creation.

My experience extends to coordinating cross-functional teams, ensuring seamless collaboration between design, development, and marketing departments. I am adept at utilizing project management tools and methodologies, fostering efficiency and transparency throughout the project lifecycle. In addition, I've managed diverse projects, ranging from website launches and mobile app developments to digital marketing campaigns. This exposure has equipped me with the ability to navigate challenges, adapt to evolving technologies, and deliver projects on time and within budget.

In my digital project management role, I've navigated diverse methodologies. For a dynamic app development project, we embraced agile, fostering adaptability to client feedback. Conversely, a structured website redesign called for a hybrid approach, blending elements of waterfall for clarity. Tools like Asana for task tracking and Jira for agile workflows were pivotal. Google Workspace streamlined collaborative document management. These choices enabled real-time progress tracking and effective risk mitigation. The flexibility to choose methodologies and leverage suitable tools ensured successful project delivery within constraints.

In digital project management, selecting the right methodology and tools significantly impacts project success. Various methodologies like waterfall, agile, scrum, or hybrid possess unique advantages and drawbacks. Understanding these helps in selecting the most fitting one considering project context and constraints. Moreover, utilizing project management software, collaboration platforms, and task management systems streamlines project handling. These tools enable tracking and reporting on progress, quality, risks, issues, and budget, ensuring efficient project management and successful outcomes.

In my experience, it is important to define value of the project management effort inline with the overall outcome. It is easy to get blinded by several metrics/features and collect too much information than needed to achieve the outcome.

In choosing the most suitable methodology and tools, project managers must consider project size, complexity, client preferences, and team expertise. Regular communication, training, and adaptation are key to successfully leveraging these methodologies and tools throughout the project lifecycle.

In managing digital projects, expect teams and stakeholders to be globally dispersed. Embrace agile methods like Scrum, ensuring daily standups, sprint planning, and retrospectives keep everyone aligned. Set up a robust communication platform for continuous updates, celebrating wins and learning from setbacks. It's crucial to articulate the 'why,' 'what,' and 'how' of your project, sharing the stage with your team and maintaining open, transparent communication. Adopt an 'I say what I do and I do what I say' mindset to foster trust and integrity. By doing so, you'll navigate time zones and distance, turning geographical diversity into a strength rather than a barrier.

When dealing with multiple stakeholders, it’s essential to keep all parties engaged throughout the project. This is especially important in large projects where stakeholders might operate in silos. The key to success is clear communication and transparency. Whether it’s a change in priority or a pivot in scope, everything should be openly addressed with the full team. Project managers should anticipate future complications and plan ahead, involving the entire team in these preparations.

Acknowledging achievements is essential, achieved through recognition awards, thank-you notes and feedback mechanisms. Continuous improvement is emphasized, with feedback analysis and ongoing training sessions to enhance project management practices. The process concludes with a formal closure meeting to celebrate accomplishments and officially close the project

While it is crucial to align digital strategies with business objectives, we must not lose sight of the end-user - the customer. In this customer-centric digital age, strategies should be inspired by the needs and preferences of the customer. Therefore, in addition to defining the scope and objectives, it is equally important to understand and incorporate the customer's perspective into the strategy. By adopting a customer-centric approach, we ensure that our digital initiatives not only fulfill corporate objectives but also resonate with the customers. It is important to remember that the most profitable decision may not always be the one with the lowest cost, especially when considering the lifetime value of our customers.

Couple additional things to consider. While it’s good for any project, it’s especially important for digital projects to get clear on desired outcomes before diving in. Lots of digital projects spin up for the sake of “going digital” versus solving a real problem. If you don’t iron this out early on, you’ll find yourself trying to manage something unmanageable as the scope, purpose, and direction constantly shift. Second, technology is changing at a blinding pace. If you aren’t clear on the desired outcome, it’s easy to get so focused on keeping your tasks and milestones in order that you fail to miss a technological change that makes the need for the project obsolete. This also requires a boldness in calling it out when identified.
