1 Define the problem

Before you start brainstorming or proposing solutions, make sure you have a clear and shared understanding of the problem you are trying to solve. Ask questions, listen actively, and summarize the key points. Use SMART criteria (specific, measurable, achievable, relevant, and time-bound) to frame the problem and set a goal. Avoid jumping to conclusions or making assumptions based on your own experience or bias.

The best way to define a problem is using 5w2h. What happened. Where it happened. Who is involved. Why it happened. When it happened. How the situation occurred. How much is the impact. Simple and direct. Don't use smart as smart is not used to define a problem.

2 Choose a method

There are many methods and tools for team problem solving, such as SWOT analysis, fishbone diagram, 5 whys, or six thinking hats. Depending on the nature and scope of the problem, you may want to use one or more of these techniques to structure your process and guide your thinking. Choose a method that suits your team's preferences, skills, and resources, and explain how it works and why it is useful.

The decision of which tool to be used depends on the complexity of the problem. I keep seen a lot of people using xomplex tools such as DMAIC to solve simple problems with one cause only. This is fundamently wrong. Our job is to find the best tool and make it easier for people to follow and use, not to show our knowledge or skills in what we have learned. Problem solving needs to be interactive and fun, otherwise people will lose interest.

3 Assign roles and responsibilities

To ensure that everyone in the team has a voice and a contribution, assign roles and responsibilities for different stages of the problem solving process. For example, you may need a facilitator, a recorder, a timekeeper, a presenter, or a devil's advocate. Clarify what each role entails and what is expected from each team member. Rotate the roles if possible to avoid dominance or resentment.

4 Communicate effectively

Communication is key for successful team problem solving. You need to communicate clearly, respectfully, and constructively with your team members, as well as with other stakeholders who may be affected by the problem or the solution. Consider the pros and cons of each solution, as well as the feasibility, cost, impact, and risks involved. Solutions must decided at a group level. The most effective way is to after some solutions have been agreed, try it out. If doesn't work, get back to the drawing board and try a different one. However there is a massive problem with this behind the scenes. Our brain is inclined to try out solutions before the real understanding of a problem, this means, we end up trying loads of things that may work may not in pursuit of the solution. As Einstein said once: If I have 60 minutes to solve the biggest problem in the world, I would spent 55 minutes thinking about and understanding and 5 minutes implementing the solution.

6 Celebrate and learn

Team problem solving is not only a way to solve problems, but also a way to learn and grow as a peer support worker and as a team. Therefore, it is important to celebrate your achievements and recognize your efforts. Celebrate the milestones and the outcomes of your problem solving process, and appreciate the strengths and contributions of each team member. Also, reflect on what you learned from the experience, and identify the areas for improvement and the best practices for future problem solving.
