What are some tips for handling difficult phone calls?

Receving a difficult phone call or starting your day with a client that is not satisfied with the service, can happen to anyone. One thing i found helpful is to be patient. I try to listen to clients carefully and patiently, show empathy and assure them that I will do anything in my power to solve their problem and help them. This strategy has worked for me in several occassions.

It is easy for calls to become daunting, especially as they are so reliant on your voice and choice of words. It is important that your calls remain productive, well-structured and personable. The best way to find success is to always prepare before a call. Ensure you are aware of the purpose of the conversation, and think of clear points or topics which you want to discuss. When you are confident in your skills it can help reduce nervousness and allow the call to flow better - which comes from preparation!

Difficult call with a client or in my case as a Recruiter can be damming is some instances, but your mental resilience and emotional intelligence will actively assist you in overcoming those situations. Be calm, empathetic and remain humble—call back and avoid triggers from original conversation that may bring back past instances of conflict

Follow ups maybe difficult but it is crucial as this is the only way you show your commitment to any task at hand or resolution of conflict and regain the trust of the other party. This may be difficult but an avenue to show professionalism. This will enable you tell if you are now on the same page as it makes futures conversation easier.

From a legal perspective, a key part of follow-up is documentation. Be sure to document what happened on the call just in case there is a dispute down the road.

ALWAYS follow up with an email to send updates after the call: especially if you didn’t talk to the boss, let them know exactly what happened. If you send an email just right after call there can be no misunderstandings. Try to turn the arguments into your favor, but always be CLEAR and RESPECTFUL!

I learned the three “A” method of handling complaints and problems. Acknowledge: the complaint (allows the person to be heard and validated) Apologize: (be genuine) empathize Act: correct the problem; if you’re not sure how…ask. This works even in relationships. Done enough times, this becomes habit for any concern or complaint brought your way.

I find it best to stay solution-focused. I focus on finding solutions rather than dwelling on the problem. I offer practical advice or suggest steps to resolve the issue, emphasizing constructive outcomes.
