What is the role of a quality audit in effective Quality Management?

The role of any audit is as a safeguard against a deterioration in standards. Those standards define criteria for judging the acceptability of anything on which an organization depends for its success.

The role of quality audits is to evaluate the quality management system (QMS) to assess its effectiveness and adherence to predefined quality standards. Quality audits hold significant importance in ensuring the effectiveness and reliability of a company’s quality management system, through: ?Compliance Verification ?Risk Mitigation ?Continuous Improvement. Regular quality audits provide companies with insights into their operational performance, help them identify areas for improvement, and ensure compliance with regulations.

I’ve scrolled through a few comments and I’m surprised that, unless I’ve missed it, there are no references to the role of the audit being whatever the audit client determines that it should be. An audit report is literally management information and if management, as sponsor, hasn’t made clear what the objective of the audit is, then there’s your problem right there. None of us are better placed to do that from the outside looking in, or to suggest that there is a generic role or objective of ?an audit“. There are so many different reasons and objectives for an audit, but we have to understand where the responsibility for outlining that lies, in each particular case.

My last role as a Quality Auditor started off very challenging. As the departments saw me as the enemy, my role to them was someone looking for issues to report to the Executive or Board of Directors. I had to build relationships and show how beneficial my Audits could be to them and the department. I was like a third eye identifying the errors or gaps that may have been missed by them (the management team). I was there to identify areas of improvement for the department to become more efficient. After my role and function were clearly identified and understood it was smooth sailings from there.

Based on my experience the benefits include 1. Identifying non-conformities and gaps from the established quality standards, procedures and regulations. 2. Identification of Room for Improvement that leads to higher product and service quality 3. Emphasizing good practices that can benchmark from one department to another 4. Compliance Assurance to avoid penalties 5. Process Improvement and optimization to streamline the process that reduce wastes. 6. Risk Mitigation to reduce the likelihood, severity and risk rating, proposing an action before it happens In summary, Quality Audits play a crucial role ensuring that the organization are in line with objectives and continuous improvement

Planning an audit is very crucial, you need to communicate the Audit plan which includes objectives, schedule, scope and criteria to the stakeholders. Audit plan includes the roadmap for the entire audit making the activity consistent and structured. Identification of an audit team members , their roles and responsibilities must also implemented by the Lead Auditor.

Quality audits are integral to effective Quality Management. They verify compliance, identify issues, and drive improvements. Audits manage risks, aid decision-making, ensure quality, engage employees, and demonstrate adherence to standards, all contributing to customer satisfaction.

One thing that I've found helpful during Audit is a Quality Checklist, this is a structures lists of clauses, items, criteria and requirement which is based on ISO standards. The checklist provides a detailed reference to ensure that all ISO requirements has been addressed and tackled. Aside from that, checklist serve as a documentation of the audit process, providing a record of audit trail .

Quality Audits helps to Identify the strength and weakness of existing process and opportunity to include the new process in Qms. So conduct audit for projects, products, services by comparing qms will give swot of offerings by any organization.

THE MOST IMPORTANT AND IMPACTFUL QUALITY RELATED INDICATOR IS MANAGEMENT COMMITMENT HANDS DOWN!!! How does one measure Management Commitment? Trend Chart business growth over the most recent 5 years against the growth of the Marketing Team, Sales Team and Supply Chain Teams. On the same trend chart contrast the growth (or reduction) of the Quality & Regulatory Teams. The ratio of the growth in size of these Teams should be the SAME OR VERY CLOSE!!! If not Management Commitment is weak or non existent! Indicating a potential for unaddressed compliance “opportunities” or over worked Teams!!!! This metric should be considered for presentation in Management Reviews to highlight the need for a balanced workforce!!!

Technology can play a crucial role in streamlining the audit process, especially when following up on the CAPA. Setting automated reminders and providing the comprehensive analytical insights are the key advantages of using technology in quality audits.

Quality audits should be treated like opportunities for improvements and not like something to be afraid of. Mostly the audits are treated like burden. At least in our region. People are affeaid to open speaking. Reason for that is probably upbringing - mentality.
