What are the most effective ways to train customers on new electrical systems?

We need to understand by training the customer, we don't apparently intend to train somebody with skills set of one of our staff in the organization. You don't necessarily need to get to every single design criteria, just stick to the fundamental and important ones which are of higher priority for the client. So don't overwhelm the client in a way that makes this impression on them that you are trying to deceive or confuse them. Be aware not to jump into rabbit holes through this procedures. Preferably set a limited amount of time and endeavor for training the client, but this doesn't lessen it's importance.

One of the best ways is to have the customer team support the installation of the new electrical system (sort of an OJT). After the installation of the system, there should be a standard structured training to adequately transfer knowledge from the OEM/Installation team to the customer team

Adding any new electrical system needs proper training to customers to get familiar with the operation, maintenance and trouble shooting. A hand in training in similar module should be arranged at site or in factory by demonstrating all aspect of operations philosophy.

Understand the background of participants is important as well. For young engineers/technicians, we may need to emphasize more on the safety measure and operation of the equipment and system. For experienced engineers/technicians, we will emphasize more on the new technologies or features that have been introduced in the equipment and system. For non-technical personnel, we will need to communicate the technical concept in a simple way.

Much possibility that the customer is not quite familiar with the installed systems specially, if these systems are new innovative ones. In that matter, clear and simple demonstrations should be conducted to assure that the same understanding of operation, troubleshooting, and regular maintenance is in place. Simple videos may help too for understanding. Sharing contacts of suppliers are also quite important to feel secure in case an unknown malfunction occurs. Finally, safety precautions should be discussed clearly with the customer to avoid facing unknown situations of the installed system.

Multi-linguistic posters, how-to videos, pep talk videos, and simple layman's language will do the trick.. In MTNL Delhi, we wanted to install the PoS terminals of new CDMA networks at various Sanchar Haats across Delhi. I gave my team - a JTA, wireman, and a helper, a written instruction sheet on installation, highlighting the steps to be done for successful implementation. For them, it was a new product. Explained them with a hands-on demo and gave confidence, that whenever they faced a problem I'd be there. Either on a call or if required will come in person. Except for one or two places where I gave telephonic instructions, the rest of the installations done smoothly...In total there were 40 sites, if I recall properly...

training customers on electrical systems after any project, to me i consider the most important aspect of the whole project. and ways that this training can be achieved are, first if there are some specific component installed with special characteristics, the data sheet of that component must be made available to the customer. second the dangers associated with the system should be explained. and lastly demonstrating how the system operates

One thing that I find very crucial is to provide comprehensive user manuals and documentation that explain the system's components, functions, and troubleshooting steps. This is particularly useful for electrical systems with high MTTF. Trainings done on troubleshooting system will over time loose it's potency but an exhaustive documentation of the system will always save the day

My experience shows that any employee will remember information only when faced several times with the need to independently configure the equipment. There is no need to give very obvious hints, with the exception of those related to safety. This is the learning process: even when the employee just sits and looks at the monitor. Just believe me, he will learn much better this way.

Providing hands-on training sessions that allow the customers to interact with the new systems in a controlled environment is important. These sessions must be led by trainers or experts who can guide the customers through the installation, operation, and maintenance of the systems. They should also be available to answer any questions, complaints or concerns that the customers may have.

On the site, Engineers and consultants are cooperating to train clients on new systems. They are providing testing and commissioning tests like LOTO (Lock Out Tag Out) for electrical systems. By this method it, the systems is checked practically and reports are prepared and collected in a handout. This handout will be a reference for the client. On the other hand, it will provide a guideline about all the faults and failures that has been rectified. Also, it incudes all safety procedures to start up a system or holding a shut down for maintenance. Testing and commissioning handouts are the key step for teaching clients how to deal with electrical systems. Engineers will make sure that the client is knowledgeable about new technologies.

When it comes to knowledge transfer, OJT is one of my most preferred method. With on the job training, trainee would learn in details without the added mental stress of the classroom-like setting. They get to do as the installation team does and by so doing learn certain tricks that ordinarily might not be possible in a formal learning settings. OJT can be physically demanding on the trainee though. It's also important to note that the installation team cannot and would not shows the customer technical team all the tricks and parameters associated with the newly installed system. This is mainly for 2 reasons; it keeps them in business and ensure reliability of the system knowing that customers cannot alter certain sensitive data.

Change the perspective and see how the client uses the system and for which task. This way you can adapt the training to the customer's task and the customer can use the system ideally for his needs.

As seen with some clients, there are some deficiencies with understanding the asumptions that the design team has considered to desing their electrical system. So I would recommend making sure the client is up to speed with your assumptions, has an appropriate and thorough understanding of that assumption and the rationale behind that, and in case they have different requirements and needs for that assumption, educate them that how it can affect the financials and even technical feasibility of the project. It's paramount for you and also your customer to be both on the same page about the requirements, limitations, restrictions, available resources and reasons for making engineering or design decisions.
