It is also good to start within same priority with the easiest issues, which could be fixed quickly so you will achieve a progress and also satisfy customer as much as possible. in addition, don't forget setting customer expectation regarding your engagement from the beginning.

One thing I've found helpful is by setting the right priority. Most of the customers will say that their requests are prioritize. They will ask to complete and deliver it immediately. Eisenhower matrix will be helpful to identify on the priority plus impact and cost analysis related with audit, regulation or financial impact. Open and transparent communication are the key to convince your customers on delivering the right information. Please commit on the timeline that you already agreed to keep the trust from your customers.

The Eisenhower Matrix sounds like a much more formal explanation of a concept one of my favorite professors shared years ago: take care of the closest alligator to the boat. Identify what’s most critical and ensure it gets addressed. I do recommend something like the matrix to ensure nothing slips between the cracks and gets missed.

Prioritization is definitely required. Suggested Eisenhower Matrix could be one option with one recommendation of not ignoring what’s not-important not-urgent since we are dealing with customers here as opposed dealing with tasks. Customer requests/inquiries/complains should always be fulfilled/responded to based on priority. Customers who don’t seem less important at certain stage could become your most valuable ones in the future.

In my experience prioritization is key and should consider many factors including, but not limited to, the client, the benefits, the risks, the complexity of the request, what’s already in the pipeline and resource capacity and skills to deliver. Also of material importance is communication and transparency. As we all know every client believes their request is most important but it is paramount for them to understand the prioritization process so they better digest why they land in a particular order.

I think it’s important that you follow the matrix but ensure all clients, in a moment of perceived crisis feel they have been responded to in some way. They have been heard. If the problem can’t be solved at that point, put them into a good safe place to wait and then ensure the client leaves the interaction with the staff happy knowing what the next steps are. Not yet solved but happy.

Keeping Track of multiple Customer Request is what creates challenge in IT query. Never think while talking to customer that you will remember after the call .But I would also recommend to have Notes open in diffrent color and track it. Use Email flags to track your Customer requests.

An important element of clearly communicating is setting expectations. Approach every engagement with a plan. And then share that plan with the stakeholders. What are the mileposts that you expect to work through along the way, contingencies to address obstacles that you could encounter and anticipate where everyone will fit into this process, what support will you need to achieve the desired outcome, what should they be prepared to communicate to their organization. In my career, this approach has produced long standing relationships with our clients.

Do not let any type of information go unnoticed, whether visual or verbal. Communication, the more assertive, will waste less time trying to understand them.

In my experience, Automation brings several benefits to customer support processes. Automation improve response and resolution times when handling routine and defined basic tasks such as basic health check , account status with checks… I agree that, Customer centric agents can focus on innovative ideas , creativity, and complex problem solving. But we cannot be sure that Automation can bring customer satisfaction as many of the customers need human touch and want to make sure issue will be not repeated.. Ticket automation is a slippery slope. I do think it has a place in support, however losing the "personal touch" of a human in tickets is detrimental to a customer's support experience. People can tell when you use a canned response, or if its an automated message disguised as a human. It has a very off-putting feeling, and makes you feel like your issue isn't being taken seriously. However, in my opinion I think automation in status updates, such as "In progress" -> "Done" notifications actually increases the customer experience, this shows customers immediately when the issue has been fixed. I think striking a balance between human interaction and automation is key to having an efficient but personal customer support experience.

Absolutely, automation and templates are fantastic for efficiency, but let's not forget the human touch. This would make it clear that you are also valuing their high priorities goals. But if multiple request comes from different customers, then you need to validade your capacity to deploy them in parallel and would follow a First in First out approach aligned with your resources availability!

Here are a few things that work well - 1. Build a Continuous improvement plan & regularly present the progress to your client 2. Introduce latest tech to improve productivity, accuracy and efficiency of your service. Eg AI/genAI, new tools, automated comms and reporting 3. Challenge your team to bring their innovative ideas for service improvement keeping client goals in mind - reward and recognize the best 4. Provide client insights that help them to invest rightly and/or save money 5. Bring 1-2 radical ideas to improve the service once in 6 months

A good ticketing tool combined with good work practices, automation and skilled human capital will deliver high quality and reliable processes. Classifying each ticket according to a pre-defined importance criteria, combined with good processes operating under service level agreements, will form the basis of a ticket driven culture. All this together will hopefully enable people in the organization to work more efficient, continuously improving, and focusing their energy on the most important priorities first. As a result, the customer needs are more likelly to be satisfied.

Ensure that requests are well understood at the onset and not left too vague or general. The initial input and triage process should catch gaps in identifying accurately what is being requested and/or what is really being asked.
