What are the most effective content organization strategies for an intranet page?

As you're organizing content on an intranet page, think through what your audience is going there to find. Are they looking for information? A tool? A process guide? Whatever it is, make it prominent on your page and easy to find. Highlight the most important information and links "above the fold," or on the top one third of the page to ensure those items stand out. As much as possible, group like items together in categories that may sense. This could be by audience type (e.g. new hires, experienced), by project type (e.g. Employee Relations, Compensation, etc.) or by type (e.g. External, Internal, etc.).

Organize by audience need, not by function. So many intranets have an "HR section" or a "legal/compliance section"; employees don't care which teams owns it, they just want to find it (policy, link, resource, etc).

Understand what your audience would want to go there - what’s in it for them. Be clear about your purpose - why you want them to go there, what you want them to do, how you want them to do it. Lead with where those two align. Organise content around their needs Only create and sustain curating content that you can keep ‘live’ - nothing kills an internet quicker than static or out of date content. Think about how they consume content in their everyday lives, design around that. Think about new ‘habits’ you’re going to ask them to develop in ‘going there’ and how you are going to help them form that. Great search beats great ‘taxonomy’, people think in google terms. Start simple, learn and build as you go.

User-Centric Design: Tailor content for teams; group HR forms for quick access. Simple Navigation: Use clear labels like "Projects" and "Resources." Smart Search: Ensure the search bar understands queries, like "vacation request." Top-Priority Info: Place FAQs and guidelines at the top for easy access. Consistent Naming: Keep names consistent for clarity. Visual Clarity: Use icons and colors for easy recognition. Mobile-Friendly: Ensure it works well on all devices. Feedback Loop: Seek user feedback for continuous improvement. Regular Cleanup: Remove outdated content for a clean interface. User Guide: Provide a simple guide for easy navigation.

To create a useful intranet, first, understand its purpose. Collaborate with leadership and staff members to identify the target audience and their needs. Avoid building unnecessary features by keeping it simple and straightforward. Before starting the process of designing and implementing an intranet, it is important to understand why you need it. Is it because you received a request or do you want to automate processes? How do you envision its use? Often, companies begin intranet designs and implement structures without a clear understanding of why and for whom, resulting in expensive tools for simple requests or constantly customizing the platform because it does not meet specific organizational needs.

Make sure you gather a good group of stakeholders for the inception phase and brainstorm on content structure and goals with related KPIs. Re-discuss and finetune if necessary after the first live period also according to the tracking metrics. The audience will not access it if they do not find it useful as well as "attractive" in the layout and design.

In addition to goals, know your why. Why are you setting up this intranet page - what challenge are you solving. That will really assist in establishing measurable goals and objectives - without they why, your goals may be meaningless

When thinking about intranet goals, consider realistic "use cases" for people visiting your site. What are the things that they would be coming to your site to accomplish.? This will help you build in ways that users actually want and will appreciate, rather than what you or others would "like" them to be interested in. You may even want to ask some users, although people don't always have a vision for functions that they have never experienced.

Once you create the 'beast' you've got to feed it regularly, so what's your plan to accomplish that? What will be the most useful, helpful and required content that will not only be informative, but impactful in the lives of your audiences? How will you keep the site relevant? What problems are we helping the workforce solve by sharing the content we create? Based on those criteria, is the goal to reach the maximum number of stakeholders or to ensure that the information provided is most useful to the most relevant audiences?

Defining your goals you need to be razor specific on what do you plan on achieving. What will success look like, what do you want to accomplish at the end of the day. This helps you to be very specific in the goals you want to achieve. And when you are very specific its easy to measure the goals under the SMART framework

Don't assume that you as the IC pro have all the answers to what a logical structure may be. We're smart, sure, but we don't know everything ;) Put a structure a place and then ask your x-functional champions for their feedback. Use tagging and labels to ensure that content is easy to find - and then ask again whether these labels are the right ones.

Using a clear hierarchy, categorizing the content based on relevance and user needs, employing intuitive navigation menus, and implementing a robust search functionality - this must be the logical approach!

There can be a lot of information going into the intranet; and in terms of frequency of keeping it updated some can be static (may need almost no change), while a lot of other stuff can be short-lived. People like to see changes - fresh messages, new types of information, colours, etc. while a certain high level consistency in theme is maintained. Thus, structuring your content on intranet to keep the home page content changing at the right frequency while navigation to the basics that everyone will need is kept easy, maybe key in ensuring subscription to the page.

In terms of design on the Intranet, I share the same opinion as with the logical structure. I would advocate for a disruptive format and design that could change and surprise the user. Something truly intuitive that transforms into a regularly used app for consultation

It's not because it is "just" an internal material that you should not apply top design. Branding for intranet pages needs to be inspiring to every single user, so that users apply this branding consistently in their own external materials.

Keep it short and to the point! People understand and respond better to straightforward messages. If it's easy to follow it's easy to respond to.

Optimize your content not only for engagement but for accessibility too. This means checking your page against WCAG Guidelines, and you can do this for free online. It's a really quick process but ensures an improved and inclusive experience for everyone online.

Uploading lots of PDFs or images can cause a poor search experience and a poor experience on mobile. Think about where most of your employees will be accessing your content. If it's mobile, consider vertical videos, test any PDFs on a small screen, and don't rely on exporting a desktop PowerPoint.

If you're buying a new toaster on Amazon, you don't start from the homepage, then go to Home & Garden, find Appliances, the Kitchen, then Toasters... You type "toaster" and find what you need. Lots of complicated categories are preferred by the content owners and creators, not the content users. Optimise for search and keep your categories only one or two deep.

Giving ownership to the right team is important and can create impact accordingly. For eg., if employees of the organization are the audience of the intranet, then the ownership should lie with the HR team. They can work with all other stakeholders - Marketing, Creative teams to structure content well, they can work with all other stakeholders to get content, etc. But what should go in where and at what time should be a decision that they take.
