What are the most common research management challenges and how can you overcome them?

Strategies to overcome these challenges include prioritizing projects, establishing robust compliance protocols, utilizing project management tools, fostering open communication with stakeholders, investing in interoperable technology solutions, and promoting a culture of ethical awareness.

In my experience, effective time management in research projects hinges on anticipation and flexibility. I've found that using agile methodologies, even in non-software projects, helps adapt to changes smoothly. Regular stand-up meetings to track progress and adjust priorities have been invaluable for keeping projects on track. Also, involving the team in the planning process increases commitment and realism in timelines.

Time management should be faced as a Priorities management in order to set effective methods to overcome it. Time is always a limited resource: every day has 24h and we spend 8h sleeping, around 4 preparing food and eating, 1h (at least) on personal care and very often another 1-2h commuting. That means we only have 10h left to work, shop and spend time with our beloved ones. Overflowing your team may only lead to and stressful environment, burn outs and eventually resignations. However, focusing on tasks instead of time contributes to release tension Once the priority of each task is clarified to your team, is simple assign the right manpower to each task, set realistic deadlines and assign resources accordingly. And still have family time

I've successfully navigated this by fostering collaborations with other departments and institutions to share resources. Regularly reviewing resource allocation against project milestones has helped identify potential shortages early, allowing time to seek additional resources or adjust project scopes accordingly.

Quality management is crucial and challenging, especially in multi-disciplinary research. Establishing clear quality benchmarks from the start and ensuring all team members understand these has been key. Regular internal reviews and pilot testing phases before full-scale implementation have helped maintain high standards and adapt methodologies as needed.

After 16 years in research I may say this is one of the most challenging topics: teams are usually set for each project and often, due to the technical requirements, new skills are needed, leading to the recruitment of new post or pre-doc researchers. The challenge here is not about technical but soft skills. The personality of the recruited researcher will play a key role on the mood of the team and, according my experience, is always preferable to hire based on the personality than based on the knowledge: chances are the a high performance (HP) but low motivation (LM) person ends up demotivating the whole team at mid long term. And it may take months if not years to switch a resentment or disappointment mood from your team.

Building a cohesive and motivated research team is fundamental. I've found that clear role definitions and aligning individual goals with project objectives enhance team performance. Regular team-building activities and open communication channels have also been effective in resolving conflicts and fostering a positive work environment.

Innovation only occurs after successful commercialisation! Thus, stakeholder management is key to align research and the needs of the future customers and users. The first step is to identify and evaluate the potential applications, then to identify the stakeholders, and to analyze how to involve them in the research project. This is not easy! Researchers need the support of the tech transfer offices or the availability of a large network of contacts in the industry, which is only the case of a few senior researchers.

Stakeholder management requires careful planning and continuous effort. Early identification of stakeholders and their interests, followed by regular updates and involvement in key decisions, has helped me manage expectations and secure ongoing support. Tailoring communication to each stakeholder's perspective and needs has been particularly effective in maintaining positive relationships.

El ultimo punto a considerar a la hora de gestionar un equipo es que en muchas ocasiones el Investigador Principal no cuenta con una formación suficiente para la gestión. Esto suele desencadenar en desequilibrios en la distribución de tareas y recompensas que pueden acabar por erosionar el equipo entero. Se requiere no tan solo un conocimiento técnico en el área de investigación en particular sino también una formación en gestión de equipos, reparto de tareas y formación continua a los investigadores para que puedan desarrollar sus actividades. Y sobre todo, una formación solida en gestión de conflictos y comunicación efectiva dentro del equipo. Algo que pocos centros de investigación tienen suficientemente en cuenta.

I encourage my team to take regular breaks, practice time management to avoid last-minute pressures, and maintain open dialogues about workload and challenges. Promoting a culture where asking for help is encouraged has helped in mitigating stress and preventing burnout.

For me, personally, it is important to practice regular "check-ins" with myself. Throughout the workday, I will take small pauses to reflect on my current stress levels. Are there any tasks I can delegate? Do I have the bandwidth to add more tasks to my plate? How are my current stress levels? These questions help me excel as a leader and help prevent burnout.
