What are the most common relationship-building mistakes during the hiring process?

Poor communication is at the root of almost every poor experience. It’s okay to not know all of the answers but as a TA professional or hiring leader, you MUST communicate with your candidates and each other. In my experience, candidates have a better view of the organization and a better experience if they’re kept informed. There have been several times I’ve had to go to a candidate and provide them what I call a “non-update”. No new information to share but know we are still thinking about you and interested in you. Same with hiring leaders. When they’re informed on the going ons in the TA process, they feel more supported by their TA partners.

The most common relationship-building mistakes during the hiring process include: Poor communication with candidates. Lack of transparency about job and company details. Lengthy, disorganized, or confusing hiring processes. Inadequate follow-up and feedback. Unconscious bias in decision-making. Disrespectful treatment of candidates. Neglecting individual needs or accommodations. Mishandling rejection feedback. Overpromising or overselling the job or company. Treating candidates as transactions rather than individuals.

Not understanding the candidates goals and interests is the biggest hiring gap. Hiring process requires personalization and matching the right need to right candidate would help in keeping the engagement clear. Keeping the expectations right and keeping the transparency in communication helps in gaining the credibility.

Poor communication will ruin trust. My communication tips: Candidate’s perspective: 1. Interview them, send their resumes to my client. If I do not have feedback from my client, I’ll let my candidate know I have no updates yet. 2. Prep them before interview with my client, call them after an interview for feedback. 3. Staying in touch while waiting for an offer, asking if the candidate has other offers they’re waiting for. 4. After offer is signed, following up on background and references check status, when candidate gives notice and check in once a week prior to start date if they have any last minute questions.

Building strong relationships with candidates is crucial for a positive hiring experience. Do not over-promise and underdeliver! Continuous communication is critical on both sides, candidates and clients. Let the candidate know where they seem to match and also let them know their perceived shortcomings. Let the client know what talent is out there and the market rates. Are the requirements realistic?

It is amazing how many modes of communication we have, and how little communicating is actually done. When I started recruiting, technology wasn't a big thing. People were the thing. I see the younger recruiters struggle with the real conversations, prefer to communicate through technology only and not only does that hinder having real relationships, but it also leaves a lot of room for misinterpretation. I will not represent a candidate I have not met in person or on video and will not represent a company who sends a job description to 7 agencies and expect resumes to appear in their inbox. A resume and a JD are a page filled with bullet points. I want to know what is between the bullets...that is where the retention lives :-)

Managing expectations is what separates great recruiters from the rest. Take the time to ask questions and listen, remember, we have two years and one mouth for a reason. Expectations need to be constantly discussed, nurtured, and if needed adjusted. If everyone’s on the same page during the hiring process, the only surprises should be pleasant ones!

Addressing unrealistic expectations is crucial for our agency. Managing client expectations realistically ensures a transparent and honest relationship. We prioritize setting clear job requirements, discussing market trends, and presenting candidates realistically. By fostering a mutual understanding of the hiring landscape, we build trust. It's essential to educate clients on industry standards, ensuring their expectations align with the available talent pool. Handling this proactively ensures we deliver quality matches, enhancing client satisfaction and strengthening our agency's reputation in the long run.

Managing and mitigating unrealistic expectations is crucial in the recruitment process. It's essential to establish a transparent dialogue with clients regarding the current job market, candidate availability, and realistic timelines for filling positions. Setting clear expectations from the onset helps align client aspirations with market realities. Additionally, educating clients on industry benchmarks and collaborating closely to define realistic job requirements ensures a more efficient and successful recruitment process. By fostering a partnership built on realistic expectations, we enhance client satisfaction, strengthen our reputation, and contribute to the overall success of the hiring endeavors we undertake.

Along with personalization, it is important to have streamlined communication and a single POC to build strong relationships with clients and candidates. It's important to have a clear understanding of who is responsible for what in the hiring process, and to communicate this clearly to all parties involved. Having multiple people reach out to clients or candidates can be confusing and frustrating for them. It can also lead to misunderstandings and miscommunications. By having a single POC for each client or candidate, you can ensure that they have a consistent and positive experience throughout the hiring process. This will enhance fostering a long-term relationship.

Addressing the lack of personalization in our recruitment approach is pivotal for building meaningful connections with clients and candidates. We recognize the importance of tailoring our services to individual needs. This involves taking the time to understand the unique culture of each client, their specific hiring preferences, and the nuanced aspirations of candidates. By incorporating a personalized touch in our communication, candidate interactions, and overall service delivery, we aim to go beyond the transactional aspects of recruitment.

Miss communication- During hiring if we miss something important due to any reason and later on this could create big impact in relationships and trust chance of losing trust is also possible as they can’t relay on your words and this will hamper the relationship and create issue . So we should avoid miss communication and make sure to convey all the process and other candidate related information in our first interaction before it get started so things are clear from starting and later no such issue came into picture. We all want to feel special and appreciated, and most of all understood. Take the time to really get to know your client and your candidate, make them understand that their needs are a priority to you and craft your communication with specific details that embrace that individuality and personalization. This will set you apart from other recruiters that don’t do this, which is unfortunately the stereotype our profession hears often. The best recruiters provide the best service!

In today's saturated market, personalization isn't just a differentiator; it's a necessity. Standing out amid the crowd means connecting on a personal level. Understanding the unique needs and aspirations of clients and candidates is the secret sauce. It's not just about providing a service; it's about creating an experience tailored to each individual.

The value proposition you offer as a client or prospective employer needs to be clear, concise and just that, A VALUE TO ONE ANOTHER. As a candidate are you showing your valued skill set, environments you have worked in and ability to add to the teams mission? As an employer have you set your self apart from your competition and shown that you offer a great work environment with competitive pay? This will come across loud and clear quickly in the interview process.

Branding is key, and as a recruiter, your responsibility is to showcase and highlight why the opportunity that you are representing, whether you are an in-house recruiter or a headhunter, is unique and special. Understand and evangelize well the Employer Value Proposition (EVP) and also ask questions to the candidate how and why this is important to them. Highlight the strengths and find as much common ground as possible. We recruiters are also marketers and shining a positive light on why the opportunities we represent are so unique and special is something that we need to embrace on every interaction we have!

Consistent branding is paramount for our agency's credibility. Any inconsistency can confuse clients and candidates, undermining our professional image. We maintain a unified brand voice across all platforms, ensuring clarity in our messaging. From online presence to face-to-face interactions, our branding reflects our values and commitment. Consistency builds trust, assuring clients and candidates of our reliability and integrity. It's our pledge to uphold a seamless brand image, reinforcing our reputation as a trustworthy partner in the hiring process.

Having inconsistent messaging and branding can be confusing for candidates and can negatively impact the process of building relationships with them. To avoid this, it is important to ensure that your messaging, whether it is in job postings or during interactions, is aligned with your organization's values, culture, and employer brand. Consistency is key in building trust with candidates and helps them better understand what your organization stands for.

Do not be the entity that is known for no feedback or "the black hole." A company owes feedback to anyone taking the time/interest to interview. Also the candidate should not leave the interview, if they are interested in pursuing the position, what the next steps will be. Tell the employer you are very interested if you are.

It's important to remember that neglecting the candidate's experience is a common mistake that can harm the relationship between employers and potential employees. Lengthy and complicated application processes, unclear instructions, unresponsiveness, or disorganized interviews can lead to candidates feeling unappreciated and undervalued. Providing a positive and engaging candidate experience is essential for building strong relationships between employers and candidates.

Neglecting feedback is a significant oversight in our recruitment process. We value constructive input from both clients and candidates as it provides invaluable insights into our performance and areas for improvement. Actively seeking feedback after each placement and throughout the recruitment journey demonstrates our commitment to continuous enhancement. By addressing concerns promptly and integrating positive feedback into our practices, we not only refine our approach but also strengthen our relationships.

Not providing timely and constructive feedback is a missed opportunity for building relationships. Candidates put in time and effort during the application and interview process, and they appreciate receiving feedback on their performance. Providing constructive feedback, even if they are not selected for the position, helps candidates improve and leaves a positive impression of your organization.

Additionally, the quicker you follow up, the more likely it is that the hiring manager will remember you. Write a genuine note thanking each person for their time and expressing how much you appreciated the opportunity to interview and learn more about their company. Following up after a job interview is first and foremost about expressing gratitude. In order to cement a good impression, you should consider checking this box shortly after your initial interview, as most interviewers expect a thank-you note from candidates. Maintaining your name in the interviewer's mind by following up after an interview is also beneficial. This way, they are reminded of your strengths as a candidate and increases your chances of not being overlooked.

It's important to provide ongoing support and opportunities for growth, helping employees feel valued and engaged. Regular check-ins and feedback sessions are essential to ensure a strong and enduring relationship between the employee and the organization. I make a point of scheduling these check-ins on my calendar as part of my onboarding process.

Forgetting follow-ups is a missed opportunity and a significant lapse in our service. Timely, courteous follow-ups demonstrate our commitment to client and candidate satisfaction. We prioritize post-interaction communication, ensuring all parties feel valued and informed. Following up promptly after interviews, placements, and inquiries solidifies our relationships. It's not just a professional gesture; it's the essence of our client-centric approach. We continually refine our follow-up processes, recognizing that these interactions are the backbone of long-lasting partnerships, fostering trust and loyalty with both clients and candidates.

Failing to follow up with candidates after the hiring process goes beyond just overlooking a crucial step - it's like abruptly ending a conversation without closure. Candidates put in considerable time and effort into their job applications and interviews, and not receiving any feedback can leave them feeling undervalued or uncertain about their standing. A basic follow-up, even if it's to convey a decision, offers closure and demonstrates appreciation for their hard work. It also lays the foundation for favorable candidate experiences, promoting goodwill and potentially enticing them to consider future opportunities with your company.

One thing I've found helpful is that you make sure both the client and the employees our both satisfied with their placements. Communication is key and if any concerns then you need to address it with the parties involved. Sometimes its a simple fix with a discussion to get everyone on the same page or maybe you need to place the employee on another assignment that is a better fit for them.

One of the more common mistakes I see is lack of authenticity in the hiring process. Unless hiring managers and recruiters are honest about the reality of the role and culture of the company, and candidates are made to feel comfortable enough to be their true selves during the hiring process (vs what they think the hiring team is looking for), issues are likely to begin before the person even begins employment

It’s a big mistake to hire candidates who do not match the object of the organization, lack experience, and knowledge, and sometimes do not match technical team members. I didn’t like to select candidates with a lack of knowledge and experience to fill the position as much as possible, we should be focusing on the quality of the candidates as well.

There are often times when the hiring process is unclear and can be time exhaustive on the applicants. For example, going through rounds and rounds of interviews and just when the applicant thinks it's over, another interview gets scheduled. This can be due to the the role and/or job requirement not being clearly defined and not having a single decision maker in the hiring team. To help on this, the applicant should politely ask upfront about the process including the number of interviews so that the time and effort of both parties can be respected. Moreover, in my opinion, the total interviews should not exceed 5 and the recruiting process should be clearly explained from the beginning so that the applicant can plan accordingly.

It's okay to not get it right sometimes, but you need to own up to that. Sometimes an apology and recognizing you could and should have done better goes a long way. We are all human afterall.
