One thing that I found limiting on most POS systems is the limited ability to upgrade/update them to allow for changes in technology and/or payments. For example, one of my previous stores had a card reader that was more up to date than the POS system. The card reader was equipped to recognize every type of way to pay with a card (tap, swipe, insert), as well as payment via phone. However, the POS system was unable to process anything except a card swipe, in spite of being only a 4 year old system. Mobile payments especially were a problem, as the system appeared to have accepted the payment, even generating receipts, only to have the transaction fail later in the reconciliation process, essentially causing shrink and items to be "free."

It's important to "begin with the end in mind". By that, I mean you should decide which pieces of technology you will want to integrate in the long term. If you just want POS and payments integrated, many systems will fit the bill. But if you want accounting, loyalty, inventory, scheduling, PMS, and/or off premise options to be "talking" to the POS, it becomes a more complex decision. Some operators choose POS systems that claim to do everything. Some operators prefer to work with best-in-class solutions that integrate with the POS. Start with a roadmap and the path will be more clear.

In my experience, an enterprise should assess the present status of the POS system and may also consider the below parameters while evaluating the options : If this is a green field implementation, can a potential new system meet the requirements for a different line of business such as retail, enterprise, wholesale, etc.? the single system across the board brings multiple advantages such as reusability, operations, enhancements, vendor governance, etc. in day to day business. Another critical question one should ask about building in-housing Vs. COTS (commercial-off-the-shelf) solutions. Based on the nature of services offered by an enterprise, it may sound reasonable to develop your own solutions over the COTS and evolve as you need.

When you get a short list of POS vendors, visit some restaurants and talk to the servers, bartenders and FOH managers. They will give you the best reviews.

If you're a big operation, ask for a pilot. I've run fully operational systems in a single unit for a couple of months at no charge to prove value. The upside needs to be pretty big for a vendor to go through the effort and provide the resources to do this at no charge, but it happens.
