Facilities ops can be tricky! Balancing maintenance, tech upgrades, and costs is like walking a tightrope. Staying compliant with regulations, handling emergencies, and juggling stakeholder communication add to the challenge. It's a dynamic field demanding adaptability and quick thinking.

Facilities operations can and will present a plethora of new challanges each day. A good Leader will asses each of these challanges with an understanding of their teams capabilities while setting realistic expectations on their path to correction. Safety, timeliness, cost conscience and final results driven processes all must be implemented to achieve success each day. But anticipating many of these challanges in advance and adjusting to avoid them from happening can be the difference between a good and a GREAT Leader.

One of the major challenges in facilities operations is ensuring efficient and effective management of the physical infrastructure. This includes managing the maintenance, repair, and replacement of equipment, systems, and facilities to ensure their optimal performance.

The largest challenge is gaining enough experince to do the job competently. FM is not a career you can learn in school, it's gathering a working knowledge of best practices and people skills that most good FMs acquire over many years. It's hard to be good without understanding how the equipment and buildings work so you can manage your department and advise your company wisely, and those are things you can't learn in school. Starting with trades work and working your way up in a very large company is the fastest way I know to acquire that experince. A willingness to learn from others helps a lot.

In healthcare we have annual inspections for life safety code compliance. Good documentation and a schedule of compliance activities help keep us compliant. It's important to train staff so that everyone knows the requirements and can navigate the required documentation. Forums with other facilities leaders are essential to learn and share knowledge on approaches to regulatory compliance.

Prioritizing tasks, negotiating with vendors, and monitoring costs are pivotal in ensuring efficient facilities operations. Developing strong financial and analytical skills is crucial for effective planning and forecasting to meet both short-term demands and long-term goals. A well thought out CMMS system with criticality analysis and equipment assessments can help simplify a wealth of information and make decision maker clearer.

Even before developing a budget there is need to think about how the budget will be funded, not just in the short term but also in the longterm. People tend to overlook the longterm and this is why a budget may be constrained in the longterm. Budget development requires prudence so that we don't set our costs too low or overestimate our incomes to a point that when any uncertainties occur we have budget shortfalls. Another issue is budget monitoring. You can have a perfect budget but if not well monitored and readjusted where need be, financial challenges might occur. The integrity of people involved in the whole process is also very key.

Facilities maintenance is easily the most overlooked department. Production equipment maintenance always takes precedence because of the feeling that they are revenue producers. Know your Plant. Have a pulse on all infrastructure and monitor closely for variations. Know the technology in your factory and keep up with innovation from outside. You will have to fight for money always. Track performance. Understand all options. Strongly justify funding with facts. Fight for the project. Come in under budget, favorable to the timeline and track results to your plan and report all results. You control the cardio vascular health of the business. If that is not well, the business will suffer.

Most Risk Assessment on "continuity of operations even where there are observed difficiencies" are driven by resource constraints or the logistics of assembling the requirements. It challenges the facilities operators to take more look at the facilities to explore more cost effective options. Often there is a trade in to accept a higher operational risk to save production and earnings. These type of considerations may result in having critical operation parameters (where human intervention may be required for a critical safety action-parameter control). A good knowledge of the facilities and overall facility risk management is necessary to manage situations such as these to avoid major financial losses ( earnings or facilities damage).

Put good people into management role because they are proactive, taking point lead of services, systems and teams. What seems to be a reoccurring factor at time is they are not support in the way they need and left to it because they are natural leaders, good at their job and have the experience and/expert knowledge at trade, system levels. They are not give the opportunity for development into management and set on a career path because the job is taking up their time. Having the time to take check and putting an action plan together to provide opportunity and development which fundamentally supports service efficiency and compliance. Starting with a team of 2 to handling a team of 10+ members within 2 years. This was indeed an eye opener towards my skills in HR management, all i did was i stood as one among them and assured them that each one of them would get their slice from the cake i get. I never monitored them but kept them accountable. Conflicts were sure since all of them had their own ideology, concepts, & skills too, but i had believed that sitting around a cup of coffee together would clear any issues , which actually worked. And of-course nothing works the best like appreciations.

I would put tenant management as THE most challenging task of a facility manager. How can a person who spends a fraction of his time on a part of the building understand the level of frustration the end user face - to us, a week to get a quotation might seem reasonable but for the end user who needs to deal with the issues for a minimum of 40 hours, perspective changes. It is very important for facility managers to always provide updates on progress in order to overcome this challenge.

Staff retention - more often than not, facility management is a thankless job in which no news means good news, and any knock on the door would mean a complaint. Coupled with the drive to cut operation cost (without improving operation efficiencies), talents are quickly lost.

What I’ve noticed in facility management careers is that we’re so understaffed typically that there isn’t sufficient time to train those trying to grow. A good leader will make time and be intentional with it, but my experience has been you have to learn most of it on your own and managers “don’t have time” to show you what they’re doing and explain why so you can learn. I signed up for mentorship program at one of my past jobs and it was great because it set aside intentional time for me to be challenged by a senior leader with tasks that were above my position but gave me invaluable experience to help propel my career and receive feedback from someone that is in that position currently doing it.
