What are effective strategies for managing team members who procrastinate?

Setting goals will not make a team member reach them. You need to make a plan, assess what they need to reach it and set a pace. Some team members will do this on their own, others might need help. It’s the responsibility of a leader to identify who needs what kind and extend of guidance.

Honestly, a team is a reflection of the leader. When the leader is proactive and ensures that deadlines are met, it's difficult to visualise a team which procrastinates while working for them. Also, we need to see if it is prioritisation or procrastination. While the earlier is efficiency the later is not acceptable. It's imperative for the leader to have a one on one straight discussion on behaviour, and also assess if any support is required professionally, or, if any challenges are being faced in the personal front by the employee which needs an emphatical engagement. The Leader may consider a formal professional action if the behaviour persists.

It's easier than one may think, but here is what I do... Set Clear Deadlines: Break tasks into smaller parts and give them specific due dates. This helps get things moving. Regular Check-Ins: Meet regularly to see how things are going, offer help, and solve problems together. Think of it like being a helpful guide on their work journey. Understand Why: Figure out why they're procrastinating. Sometimes, it's because they're not sure or not motivated. By finding out why, you can help them better. It's like being both a detective and a coach.

Procrastination often hides overwhelmedness or capability doubts. Restore confidence through patience not pressure; meet them where they are. Realign efforts to current bandwidth while building skills, then incrementally increase accountability as ready. Well-paced challenge fuels growth; belief fuels achievement.

-Know who is the procrastinator. Not everyone can be at fault. -Create milestones. -Set clear and realistic goals (monthly, bi-weekly, or even weekly) -Keep them away from multitasking. -Get personally involved to understand things in detail. -After knowing the problem provide them training and guidance.

As important as celebrating progress is analyzing setbacks: Why did they happen? What risks weren’t in properly adressed? What do we learn? How do we adapt to the new situation?

To disrupt procrastination within your team, inspire a culture of intrinsic motivation by clearly articulating the bigger picture and individual contributions toward collective success. Motivate team members by connecting tasks to their passions and strengths, fostering a sense of purpose that fuels proactive engagement. Creatively implement personalized productivity tools and techniques, tailoring solutions to individual preferences and work styles, to maximize efficiency. Finally, strategically provide ongoing support through regular check-ins, acknowledging achievements, and actively addressing any obstacles, creating a dynamic and empowered environment that minimizes procrastination while optimizing team performance.

To do this, you must figure out, what the relevant team member values. One might prefer a bonus - an other an additional free day. Don’t make the mistake to treat everyone the same. This way you won’t motivate your team. Same goes for crtitcal feedback: One needs to be told, that something is not ok and an other individual in the same situation needs a sign, that the world doesn’t stop from turning because of a mistake. People are different: treat them different. But be aware that leading with taking individuality into consideration will have to be accompanied by really good communication. And you must have clear standards/ metrics to identify the value each individual brings in for the common goal.

Procrastination is rarely laziness - it's an emotional regulation issue. (Not my own words, but advice that resonated with me). People rarely procrastinate because they can't be bothered to do something - usually, it's because they feel overwhelmed by the scale of a task, anxious about perceived failure, frozen in fear of an impending deadline. If you notice procrastination, address it early, with empathy, asking open ended questions: Where do you plan to get started? What is your first step going to be? When should we check in on progress? What else do you need to get started? What is preventing you from starting this task today? Once those things are understood, and a task is made more manageable, procrastination quickly fades.

One of the biggest causes of procrastination is a lack of time management skills. Sometimes, all a person, student, or employee needs is a schedule of incremental tasks to be completed in order to achieve their overall goal. A good example of this is a fitness program, where a certain day is prescribed to complete a workout and each workout has several steps. Building a plan for an employee who is stuck because they can't get away from other meetings or responsibilities can help them catch up, be less stressed, be more productive and overcome procrastination.

Addressing employee procrastination requires a thoughtful approach to understanding the diverse factors influencing workplace behavior. It is crucial to comprehend the motivations, goals, and challenges of each employee. Clear expectations must be established regarding tasks, deadlines, and performance standards. Cultivating a positive and supportive workplace culture is essential, fostering an environment that allows employees a degree of autonomy in their work. Regularly assess employees' workloads to ensure they are manageable and not contributing to procrastination. Feedback sessions, along with providing necessary resources and training, play a significant role in addressing procrastination effectively.
