These are standard for the industry and are outlined in each spec section what’s required to be submitted on. Best practice is to combine these with a warranty letter and cover page with your companies information with all O&Ms in one file.

O & M manuals: These manuals provide instructions and guidelines for operating, maintaining, and troubleshooting the various systems and components of the project. They include information on equipment specifications, maintenance schedules, safety procedures, and contact details for service providers. Lists of the Contractual Spare Parts and Recommended Spare parts including the status of handing over to be included in the final O&M Manuals submission. The O&M manual will be available prior to training. Part of the training is to navigate the trainee on the manuals and explain how to use them effectively.

This is extremely common in ordinary life the only difference requirements are found in the specifications for duration, requirements, etc.

All warranties should include the commencement dates, validity and any other requirements in specifications. All manufactured equipment / system should be should supported by the original manufacture standard forms

The test and inspection reports can be found in the spec section for the required item. Some spec sections have a dedicated form they want filled out, some contractors have preferred documents and reports and some subcontractors have them as well. Another place you may find these are with a 3rd party inspector if required.

Testing and Commissioning Reports: Include reports and records of any testing and commissioning activities performed on systems and equipment, such as electrical systems, HVAC systems, plumbing systems, and fire protection systems. These reports validate the proper functioning and performance of the installed systems.

Don't forget about your lender requirements. As an Owner's Rep, the Developer has a contractual obligation to provide close-out documents to the Construction Lender. This is outlined in the loan documents and typically includes: - Final Lien Waivers - Punchlist Signoff by Architect - Warranties - O&M Manuals - As-Built Drawings - Certification from Architect that Project is Complete - Special Inspection Signoffs - Temporary Certification of Occupancy (TCO) or Final Certificate of Occupancy A final package must be submitted to the lender and bank rep prior to final payment.
