What do you do if your software developers and clients are constantly at odds?

The initial step in conflict resolution involves identifying the underlying issues causing friction. Facilitate an open discussion allowing both developers and clients to express their concerns. It's crucial to pinpoint specific problems rather than general dissatisfaction. Is it a matter of scope creep, with clients requesting more than initially agreed upon? Or is it a lack of understanding of the technical challenges by the client? Identifying the root cause is essential for finding a mutually satisfying solution.

Consider the impact of cultural differences on communication and expectations. Acknowledging diverse backgrounds can lead to a more inclusive and understanding environment. By valuing cultural nuances, teams can navigate conflicts with empathy and respect, fostering stronger collaborations. Like to add two things here. [ or my 2 cents] Open Communication Channels +------------------------------+ Foster open and transparent communication between developers and clients. Encourage both parties to express their concerns, priorities, and expectations openly and respectfully. Understand Each Other's Perspectives +-------------------------------------+ Take the time to understand the perspectives and motivations of both developers and clients. Empathize with their challenges and concerns, and seek common ground to bridge the gap between their expectations. Lastly don't forget to "Compromise and Collaborate" :)

A critical post-mortem of the situation would be crucial. Analyze the ongoing process and find out the gray areas in the plan. Discuss openly with the clients and developers about the problems being faced and what each entity feels is lacking in the current solution/plan. Prepare a new roadmap with the new perspective gained to solve the problem in the new route.

I have not seen this scenario very often, but typically when I have it's because the developers believe that the customers don't really want what they say they want, or the requirements are not clear from the customers, resulting in features being developed that did not live up to the customer's expectations. A good Product Owner can be key in resolving this conflict. The PO is the representative of the customer to software developers. Additionally, in an agile environment, developers should be able to create prototypes or proof of concept features that allow the customers to see if their expectations are resolved (with a quick feedback loop). Also, spending time with customers and really understanding their needs is greatly beneficial.

In my experience, improving knowledge transfer and reducing communication gaps between developers and clients is vital. Here are a few effective techniques: 1. Provide frequent updates from the development team to the client. 2. Encourage prompt and constructive feedback from the client on the progress shared. 3. Hold regular meetings where developers can share progress/challenges and clients can update their expectations. 4. Document every client request for present and future reference. Instead of solely relying on lengthy meetings, additional sessions like chill-out sessions can also foster better relationships between the client and development teams, ultimately reducing gaps.

In the tech world there is a lot of Jargon that even i don't understand. my first step to improving communication is both parties should utilize plain language in their communication. Next step is set expectations of how they will be communcating with each other. Chat programs(i.e slack, teams, discord) and hours in which communication will be appropriate. Coming back to Jargon, you should use clear visual that bring your point across clearly rather than confusing terminology. Both parties should engage in actively listening and resourceful feedback. No meeting should with out an action plan or an agenda for next meeting session.

A clear line of communication requires an agreed upon body of understanding. This can happen before, during, and after contact with the client and/or the developers. Setting clear expectations on both sides is a requirement to avoid misunderstandings, slipped deadlines, rush jobs, perception of under performance, perception of "always waiting for", etc. Set core ground rules and work within that framework. If the issues have been longstanding, then this will need to be introduced gradually. Note: More communication does not equate to better communication. Some people are just... very verbose. Or their style of speech or choice of words is offputting... or incites conflict. Be aware that quality, not quantity, of communication is important.

Whenever I hear "expectations" I think "SLA" or service level agreement. Ie, establishing a protocol for working with one another which ensures that all sides have a clear understanding of how to go about managing requests, deliverables, raising issues, handling issues, and how long of a wait or delay is normal and beyond what is it abnormal. Some might think that releasing the project timeline, diagram, spreadsheet, etc. is sufficient. Tbh, it might be. But err on the side of caution and as with the prev 2 steps, learn about the strengths and weaknesses of all stakeholders and contributors. Taking some time to break down milestones into smaller tasks and such may take a bit of time, but can save much more down the road.

While designing software systems, the client and engineers must be mindful to keep the vision focused on the purpose of the software system. Having alignment on the problem being solved for the business and end users helps avoiding conflicts and designing effective systems. It's not very uncommon that engineers focus too much on technicality, and clients get carried away with "wishlist" items, that the purpose of the system starts getting blurry. Having a clear understanding of goals, end users, and the problem being solved helps address these concerns at both ends. In our process, starting with defining business processes and user journeys has always helped develop clarity on goals among stakeholders.

Along with the focus on the end goal, milestones and mid way goals are necessary to be achieved. Smaller steps at a time towards the end goal will create more focus and alignment in the pathway to the end goal. The mid way goals can be set after discussion with the client and developers, in a practical and achievable manner.

Reiterate the primary goals to both parties, emphasizing the indispensability of their collaboration in attaining them. Foster an environment conducive to compromise, urging both sides to seek commonalities and middle ground. Ultimately, strive for a mutually beneficial outcome wherein client satisfaction is achieved, and developers perceive their contributions as valued and comprehended. By emphasizing shared aspirations, a cooperative atmosphere can be cultivated, facilitating smoother interactions and project progression.

When it comes to goals setting in a tense client and developer relationship, i believe S.M.A.R.T goals are the best way to begin. This goal structure outlines a very thorough layout of the game plan and projections for timeframe they will be acheived. In this juncture of communication working together to create a unfying gameplan and address issues related to the goals in the inital phase will more likely than not work as a pre-diffuser for any tension that would otherwise come between the client and developer. Then any other planning going forward should be adaptive to anything that might impede the workflow or critical feedback. Afterwhich this goes without saying but celebrate every achievement and milestone.

Align both developers and clients on overarching project objectives. Ensure everyone understands the purpose and desired outcomes of the project. By keeping the focus on shared goals, collaboration is enhanced, and conflicts are minimized.

Knowledge gaps between clients and developers is a form of communication and expectation failure. I want to point out that "Educate Clients" should have caveats: sometimes the one needing educating isn't the client. The developers on your team understands and knows your product/service. In order for the client to benefit the most and for them to see the best implementation, they should know more about your product or service. However, it should be in terms of how it will work for their particular needs, not just in general. And to do that, you and your developers will need to understand your clients' situation and needs. After all, if you don't understand your clients, how will you extol your virtues to them?

Mediation is a matter of managing perception: perception of fairness, perception of having heard the complaints, perception of having taken into account each sides' concerns, and perception of taking action or making suggestions which both sides can accept. Acceptance does not equate to happiness. Mediation == compromise. You, if you are the mediator, will need to be willing to accept the blame and fault if it is on the side of your developers. And you will need to convey the matter to the clients if the fault is on their side. There will also be cases where.. no one is at fault, it just plain doesn't work or too many incidentals were involved. Mediation benefits greatly from observation and perception.

Find the root cause of misunderstanding. Goal of team is to help client succeed and at same time ensure your team feel supported. With good mediator, you can understand the difference in prospective. You should give trust to your customer that you are there to help them with challenges. You should give trust to your Team that expectations are realistic from clients.

This intermediary could be an impartial figure from within the organization, uninvolved in the project, or an external consultant adept in conflict resolution. The client is not your 'enemy' nor is he 'stupid'. Put yourself in his position. Try to see his needs and limits. The art of compromise is paramount. Focus on what you can do now, in a week, a month, three months,..... Explain clearly with examples and facts.
