What do you do if your social media marketing tasks are overwhelming your schedule?

You don't have to be everywhere at once. One sure-fire way to get overwhelmed with tasks is by having to manage multiple platforms at once. By conducting and audit of your social media presence, you will be able to identify which platforms are deserving of your most time and energy. Remember, you don't have to be every at once - you just have to be where your audience is.

The first thing I do is take a step back and assess my priorities. It's important to understand that not everything needs to be done at once, and focusing on what truly matters can make a big difference. Once I know my priorities, I plan my week. I use scheduling tools to automate posts and set aside specific times for engagement and content creation. I realize I can't do everything myself. Delegating tasks to team members or outsourcing specific activities can free up a lot of my time.

To handle my responsibilities efficiently, I will focus on: 1-Establishing priorities and tackling them in order of importance. 2- Assigning tasks to others when feasible. 3- Implementing effective time management techniques to optimize my productivity.

Make use of your data analytics tool on all your social media platforms, it will help make the necessary decisions when needed.

A well-laid-out social media content calendar can help with the process. Ensure you have fields for date, time, platform, content, notes, and information such as hashtags or users to tag. This calendar should be shared amongst key staff, but have one key owner (usually social media manager) who makes final edits and schedules.

As often as you can, plan your content ahead of time. Because of the nature of our work as social media marketers, our entire day can take a left turn when there is a new trend or priority that takes over. Carve our focus time for yourself and your team each week to stay organized. Make processes for how content gets scheduled in a way that is efficient and effective. Create templates that make the scheduling and planning content more turnkey so that you spend less time on the logisitcs and more time on the creativity.

Setting aside days throughout the week/month to be fully focused on content, from brainstorming and researching to batch-filming, you can be one step ahead of yourself. By properly scheduling your BAU strategy and optimising the content to go live at the best times for your audience per platform, the content will get posted without a hitch. This also gives you an opportunity to create more reactive content throughout the month, without worrying how it will interfere with your always-on.

It is important to recognize that we as humans have our creative lows and highs. We rely on our creativity to create and there are days when you will have moments of flow it's only wise to create for rainy days when you may not feel or have the energy to create. Create ahead and schedule your content to maintain a healthy active presence on the right platforms at all times. Plan, Create, and Schedule your content.

Evaluate social media management systems and their features and choose the best one for your needs. You want one that will make the social media management process efficient so that you can develop content, track competitors, and monitor conversations.

Apply 80/20 rule. Prioritize and organize tasks first. See what tasks need you and what tasks can be delegated or automated. Then delegate those tasks to skilled people. It is important not to hire newbies. Otherwise you will again feel like working more. Right now with AI a lot of tasks are manageable.

Accept the fact that you can't do everything by yourself and normalize delegating or outsourcing tasks that can be done by others and now with the advancement of technology, it's fair to take advantage of AI tools and platforms to create and automate your processes while your monitor the result and tweak and twist what is needed.

Burn out is real. And it can impact so many facets of our role - from the communications and relationships we have at work, to the creativity and our impact on the business. Personally, it took me a long time to realize how important prioritizing my own well-being was. Now, I take it just as seriously as I take my own work. When I prioritize my well-being, not only do I benefit from that - but so do my co-workers, friends, and family. Develop a schedule that allows you to prioritize yourself as much as your prioritize your work. You will be better for it. I carve out blocks of time on my cal that allows me to focus and take a beat from the fast paced environment. I take walks + allow myself to step away without feeling guilty.

Managing social media can be energizing, but it can also be draining. Social media burnout is real, and it can impact your creativity and effectiveness. So you should set boundaries and disconnect by dedicating work time and stick to it. You also need to make time for yourself and for activities that de-stress you like exercise and meditation. By prioritizing your well-being and setting boundaries, you'll be better equipped to tackle your social media tasks with a clear head and renewed creative energy. This ensures you can approach your social media marketing with long-term success in mind.

You should be realistic about what you can achieve with your available time and resources. Set SMART goals (Specific, Measurable, Achievable, Relevant, and Time-bound) to ensure your social media efforts are focused and manageable. Remember, not all social media tasks are created equal. Identify the activities that contribute most significantly to your goals, such as creating high-performing content or engaging with influencers. Prioritize these tasks and streamline or eliminate less impactful activities. And, If you're part of a team, leverage collaboration! Delegate tasks where possible and utilize team strengths to streamline the social media workflow.

Other things can be expanding your team if you are doing it all alone. You definitely need people to grow and delegate tasks so that you are not the only one doing everything. This will also help you grow and focus on other things.
