If my IT services team faces overwhelming tasks, I'd start by prioritizing critical activities and redistributing responsibilities among team members based on expertise and capacity. Streamlining processes and providing additional support or resources can help manage workload efficiently. Open communication fosters understanding of challenges and enables addressing concerns promptly. Setting realistic expectations with stakeholders and promoting work-life balance are crucial for sustaining team morale and productivity. Regular workload reviews ensure ongoing optimization and prevent future overwhelm.

If the tasks are done well and benefit the whole organization, I encourage them and give them appropriate rewards. I also try to reduce their work a little and use their experiences for others and use them in the next projects.

Prioritization is key at points like this. Arrange the tasks in a criticality matrix and assign the most severe tasks first. Then work down the list. This enables the team to work efficiently and prevents split concentration. It creates a sense of momentum as tasks are gradually completed and reduces the feeling of being overwhelmed.

In technology and innovation, delegation isn't effective unless two critical aspects are understood by the delegator and appreciated by the team: 1. Empowerment Level: Is the individual/team sufficiently empowered? This is determined by their ability to make decisions in the manager's absence and their freedom to make mistakes. Other parameters should also be considered. 2. Managerial Approach: Is the manager hands-on, understanding the value of the team's work, or merely a people manager delegating tasks to lighten their workload? This is the biggest reason for the failure of proper delegation. By understanding and assessing these dimensions, a simple matrix can be created to gauge the effectiveness of delegation in practice.

In my approach and since priority had been established, I will recommend shift of mindset from delegation to empowerment. Encouraging people who do the work to self-organize and pick the work based on those priorities. It increases team's accountability with the GUIDANCE of the leader that addresses the team challenges.

I strongly recommend lean approach regardless of the method or framework applied in a program or project. Reducing the toil so team can focus on delivering value to business and customers.

In almost every case where my team was overwhelmed, it was because something was out of balance. The forced deadline vs being open to change. The velocity of development vs quality assurance. The amount of work in the sprint/board vs the team's true capacity. The quality of the requirements vs expectations of the team. The quality of the development vs the quality expectations. The number of maintence/bugs/defects vs new features and enhancements. The availability of team members or stakeholders vs the amount of time they should be engaged. I think you get the picture. Do root cause analysis, then be transparent, identify potential solutions, adopt recommendations, and frequently inspect results.

To begin with, what is a process? It is a set of guidance practices, that is, it supports a demand to “move” from point X to Y. Where does process simplification come in? When we make this path much shorter. That simple! Let's think together! Taking the shortest route makes the team's work easier, as it allows them to produce quickly and efficiently, as well as exceeding the goals established by the organization. It makes sense? Clear! This will all be reflected in your team's productivity gains by dealing with practically no bureaucracy in daily processes.

Hundreds of millions of reais are invested in corporate training around the world annually, however, as incredible as it may seem, a good number of people responsible for training budgets still question the real need and effectiveness of these investments. However, in the current century, not having some type of corporate training, that is, not investing in people, neglecting to develop those who make up an organization and what gives a business the basic foundations so that it can be called an organization and exists, it should also bring some reflection, do you agree?

In a diverse work environment, engaging team members in a conversation is a common challenge. In my perspective, first order of business is making people fell SAFE and that all ideas are WELCOME. Then, reduce traditional meetings by introducing creative ways of covering agenda while having fun.

WHAT IS GOOD COMMUNICATION AT WORK? Firstly, it is important to understand that the concept of communication does not only include the act of speaking and transmitting messages, but also listening. After all, communicating is exchanging, and there is no exchange without knowing the other side. Basically, good communication at work is characterized by the following points: Clearly express messages, whether through speech or writing; Listen to others to understand them; Adapt the language according to the listener’s profile; Ask questions if in doubt.

Leverage project management tools, collaboration platforms, and IT service management software to streamline task tracking, resource allocation, and communication. Utilize tools that facilitate efficient task management, prioritization, and progress monitoring.

One thing I found significant in utilizing the right tools is promotion of transparency. It will be ideal that work are track in a board from inception to planning to development till changes are deleivered and introduced to the market. On team members perspective, right tools should be able to help them reduce overcommitment while aligning business expectations based in available bandwidth or capacity.

It is necessary to determine its root cause first. Among the most important of them: - Lack of necessary transparency in the definition of tasks - Failure to use appropriate tools (application and monitoring) - Existence of complex processes - Inadequacy of the number of tasks and team members - Failure to perform the assigned tasks in the assigned time, which leads to queues in doing the work - Lack of knowledge required to perform tasks One of the temporary solutions to improve the situation is prioritizing tasks, which is not a definitive and permanent solution to the problem. So remedial actions should be taken by carefully examining the above and selecting a work method aligned with the organization's defined strategies.

There is no fit all solution for overwhlemed team. In my perspective, it should start in creating a safe environment and culture where all inputs, comments, suggestions and ideas are welcome. Entice creativity to engage people in a healthy conversation while having fun. Finally, show the result using various technology like Jira, Dragonboat, ADO, MS Project and the like that will help them succeed.

As an IT Service Leader, take off your white coller jacket and get your hands dirty with the team and lead by example. Refocusing the entire team on tasks priorities and what's urgent then go down from there.
