What do you do if vendor proposals in Vendor Management are overwhelming?

Companies that invite more than 3 or 4 vendors for a RFP (Request for Proposal) are just waisting their time and also the vendors time. It’s just impossible to compare with great quality and do a deep analysis of KPIs with too many vendors. Prices from vendors in the same industry usually don’t vary that much, so price may not be much of an impact in this decision.

The first and foremost step is to prioritize need of my company. If there are already sufficient number of vendors who are competing in tenders leading to lowering of prices, timely deliveries, consistent quality and payments terms as per the company policies then vendors for those items may be politely informed and guided to develop products for which there are insufficient vendors. Proper communication would be effective.

It is important to identify and prioritize the needs of your organization. Identifying the key criteria for selection such as cost, quality, reputation, and compatibility with your needs should ease the process.

This is the most impacting facet of decision making and selection of the right business partner (purposely not using the word vendor). My perspective is to connect with a couple of existing customer’s for reference checks and within industry peers to gain performance feedback and practical challenges. This will be a significant direction which will enable for vendor selection.

As a Buyer or a Vendor Manager, we must adequately represent all other departments in an Org. Take a Machine Manufacturing setup for example. The assembly floor manager might prioritise components which are easy to assemble and disassemble but this might not sit well with the testing counterpart because he or she might have to build additional checks and balances in the system. A delivery lead might want the machine to be the smallest size but might not match the designer's requirement. Hence all of these diff perspectives have to be balanced by the vendor manager to ensure there is a near optimal solution to all the different stakeholders' needs.

We must carefully select the appropriate ones for the tasks, followed by a collaborative discussion about their roles, benefits, and expected outcomes. Additionally, negotiating pricing plays a crucial role in effective vendor management.

See the critical aspects of your needs and then prioritise your needs. Second step is to negotiate keeping in mind the quality and performance aspects of the goods and services.

I have to keep my Organizational needs, after total checks means Vendor repo, samples, quality & Delivery period, I would negotiate along with penalty clause for security.
