What are the common challenges of technical writing in a conversational tone?

In technical writing, the target audience should have a basic idea about the topic. That will help you write more precise documentation with a conversational tone and style. Add instructions and diagrams as needed because that may suit your audience very well and increase their readability.

There are two main factors to consider when it comes to defining the dialect of language used in software documentation: - Everything is a mathematical truth-value statement that connects to the UI and its procedures. - Software documentation gets translated to multiple languages. When you localize a conversational tone, this can potentially create two problems: 1. Informal/colloquial speech may sometimes become barriers to the inherent meaning of your documentation. 2. Not every user comes from a culture that accepts "friendly" without some degree of social initiation. You may be inadvertently alienating users by sounding insincere or condescending, and that can compromise the user's willingness to onboard with or use your product.

One time at work, I was writing a user guide for a complex software tool. I tried to keep it conversational, but realized I was using too much jargon. So I asked a non-technical colleague to read it and highlight any confusing parts. Their feedback helped me rewrite it in much clearer language that our customers loved. Sometimes an outside perspective is all you need to make your writing more accessible.

An added challenge when planning your document structure is the target medium used for publishing. Before, the end product was very predictable: a sheet of paper, or a screen that emulates a sheet of paper. The dimensions are very familiar so page design is easy to optimize. With today's delivery choices, defining an effective structure becomes more of a challenge. Information will still use the constructs of a sheet of paper but will now also include screens of varying dimensions, resolutions, and other capabilities. Information must now be structured to deliver on anything that can display text, tables, images, play multimedia elements, support interactivity, all the while being connected to networks. ‘A software documentation’ is just one of several grammatical errors in the article. The ‘for example’ bit here, as it does in other sections, gives the example without explicitly describing why it was chosen. Instead, break up this kind of sentence into two sentences; the first can just list several different examples of the concept and then the second should take one of these examples and describe why it would make sense to use it for a certain type of technical writing piece (eg, ‘software documentation is too dense to easily skim so try including a table of contents that breaks content down to section subheadings, allowing users to easily and quickly find the discrete subject matter they’re interested in’).

The way you organize the material will emphasize certain things and downplay others. Make sure your organization fits the purpose of the document and the way people are going to use it. Also, if you need a glossary to help your readers understand all the technical terms, put it near the beginning of the document so they know it's there.

Many technical documents are not meant to be read cover to cover. Instead, the audience will dip into them for help, usually while trying to do something else. A clear, logical organization is key for this audience to find what they are looking for so they can move on with the task they are trying to complete.

Technical writing is not inherently conversational. When choosing to use a more friendly tone, you naturally introduce additional complications, such as colloquial language that does not translate well, extra unnecessary words, and liability risks by unintentionally making general claims. There are minor ways that you can make the language less dry before resorting to deviating from technical language. I recommend using contractions or addressing the reader as “you”. These changes avoid the above complications while still achieving the conversational tone.

I think the unsung hero of good instructional writing involves elements of style. This means using different sentence lengths to avoid monotonous cadence. It also means avoiding redundancy with word choice. Transition words or phrases can help your writing flow seamlessly to new topics and tasks while creating variation (which we all crave on a psychological level). Of course, technical writing isn't exactly known for its flair, but I think paying close attention to our writing style and how it sounds out loud will help us avoid dry, drone-like articles and manuals that people don't really want to read.

People scan the web looking for what they want, when they don't find it quickly, they move on. Concision tends to clarity. Break up the text with bullets and elemements that make it easier to find what they are looking for.

In technical writing you don't just jump right in, you write concisely and clearly to the understanding of your target audience ensuring that their pain points are met.

Less is more. Use short sentences with great verbs, and vary sentence structure. Think of your audience at every step. Keep it simple, but not to the extreme where it has no life. When in doubt, read it aloud.

Do not use visuals and multimedia gratuitously. Use restraint since a little goes a long way. Follow your style and usage guides or, even better, tried and true graphic design principles. Know your goal. Will you be presenting densely packed materials in a table? Establishing a consistent brand identity on each page with iconography? Identifying clearly specific information types with positioning and color? Just because you have a cool video of a cat coding in C# doesn't mean you have to include it. But then again, maybe you should since that's exactly what is needed for your reader to understand a critical concept.

Having relevant visuals/multimedia to explain concepts will reinforce what you're trying to communicate. Some things to consider with the visuals/multimedia: - make sure they can show up well across platforms - make them easy to understand with enough context to what's written (have text on diagrams as needed) - visuals can be image, video, or even interactive, as you can make changes to a diagram, the diagram updates

Use visuals and related as additives - not competition. Appealing does not mean bright and shiny. If a chart says it better than words, use it. But there need to be words before and after as an integral part to the chart-picture-video. You are looking to create an aha! moment - not a What? moment.

Visuals and multimedia are great additions to written content but must be used with judgement. You must use images and videos to supplement the written content and not to distract the reader. Flashy images or unnecessary videos add to the cognitive load and do no good in simplifying complex information. Look for use cases that can benefit from multimedia and create simple, easy-to-comprehend visuals or videos.

Read your document out loud. If you don't want to do that, use a text-to-speech tool. Listen to the flow of your documents. Make changes to help your ideas come across smoothly. Consider explaining any jargon that affects the understanding of your content. And, put your document away for a while. Go and work on something else. Then, come back to it with fresh eyes. Edit one more time to iron out any errors or difficult passages. That's how you end up with a document people love to share. Try it!

Here are some things to keep in mind when using a conversational tone: 1. Is the tone and voice stated in the content Style Guide of the company? 2. Is this conversational tone consistent across platforms? 3. How are the users feeling about your product (docs)? If the answer is no in the first two questions, then there is no unity in content and inserting a new tone without prior research and alignment with brand objectives might backfire. Finally, if users feel inappropriate about the way you address them, the implicit meaning of the content also shows what you value. For example, assuming the users' gender, abilities, or prior knowledge is demeaning. Remember, even if you are the owner, you are not the audience.

The clearest writing achieves its purpose: communication. Any written text should be easily understood by its intended audience. One way I ensure my work meets this goal is by using readability tests. These tools analyze factors like sentence structure and vocabulary to estimate how difficult the text is to understand. Even when aiming for a conversational tone, readability checkers can help you strike a balance between simplicity and complexity, ensuring your message is clear.

Read it out loud - as some have already said. Are you bored? Are you lost? Do you struggle to get through a long and complicated sentence? Consider your audience again. Look back at the assignment purpose and make sure you have all the requirements. Cut anything you don't need. Rearrange the photo and media. Is the main point above the fold?

Much technical writing is done in passive voice because it doesn't matter who added 250 ml of solvent, just that 250 ml of solvent was added. But sentence after sentence of passive voice will put the reader to sleep before finishing the technical paper, so use active voice whenever you can. Bad Example: The distillation equipment setup is shown in Figure 1. Active Voice: Figure 1 shows the distillation equipment setup.

The most challenging part of technical writing is making it engaging yet keeping it professional. You can do this by following certain basics. 1. Write in a simple language and keep the paragraphs short. Avoid passive voice as much as possible. 2. Although technical, avoid overly stuffing industry-based terms and buzzwords. 3. Ensure you add relevant analogies to break boring monotony that creeps technical concepts. 4. Write for one person, like you're explaining things to your friend. 5. Keep it engaging with data and visuals. Add graphs, infographics, video snippets, stats from trusted sources, etc. 6. Engage your audience by making the piece interactive with questions or surveys.

I share three tips below from a long tech writing career. Form an outline from a simple list of what needs to be covered. Then rearrange the list in the logical order of when the readers need the information. The goal is to avoid having to look ahead, and build on what has been learned by that point. Write the introduction after you’ve finished the main body of the document. Introducing what you’ve written goes faster and better than describing what you intend to write. Give your writing and yourself a brief rest, even a few minutes, before correction and revision. Your refocused attention will highlight needed changes.

I like to quote my dad here, "Your customer will teach you everything you need to know about your business". I would add that you have to solicit, listen, and apply feedback, when there is added value.

I agree completely. Passive voice in technical documentation makes the information almost unbearable to read. I've always tried to ensure that I use active voice any time that I can. Plain Language is also something I stick to. With technical documentation being shared across teams in which English is not always a first language, using Plain Language is helpful. I understand the latter well because English is not my first language.
