What are the best ways to revise and update your strategic plan?

A critical step in revising and updating a strategic plan is assessing the current situation. We are accomplishing it by collecting and analyzing data on my company's performance, both internally and externally. we are using Surveys, interviews, and data analysis to determine our strengths, weaknesses, opportunities, and threats (SWOT). A while back at Optix, we realised our goal of 'increasing client retention' was too vague. We honed it down to 'achieving 95% client retention while increasing NPS by 20 marks within a year'. Then, we revisited our strategies. Initially, we'd planned on regular check-ins with clients, but feedback showed they wanted more value, not more meetings. Their motivation level drastically affects how successfully an action, strategy, or goal is accomplished. Allocate a part of your budget to implement recognition and reward systems. These can be monetary or non-monetary, catering to various aspects of employee satisfaction and aimed at boosting their commitment towards achieving organizational goals. Remember, transparent communication about the budget and how it is allotted, regular feedback, and visible recognition can considerably enhance employee engagement and buy-in towards the action plans.

Communication is critical across every business! For business plans to make an impact, you need to involve many levels of the business from the boardroom to the shop floor. Be clear who is doing what and why... how are measuring success and keep the wider team and stakeholders informed as the plans progress. Nobody likes surprises, so be sure to be transparent as plans evolve and keep everyone on board.

We've found that our stakeholders responded best when we involved them in the process from the start. Rather than just presenting a revised strategic plan, we hold virtual meetings to discuss changes in market conditions that necessitate adjustments. The open dialogue creates a sense of ownership among team members and also unearths insights we might not have considered. In addition to considering these metrics consider anecdotal inputs (eg customer feedback) into the decision making for adjustments.

One thing I've found helpful is to meet quarterly with our team to determine if adjustments need to be made or if we are still on track in working towards our strategic plan goals. This is a great time to also identify barriers, changes to the environment, or new initiatives that should be incorporated into the plan.

Ego. The biggest challenge in developing a strong strategy is the ego associated with the leaders that are responsible for assessing, reviewing, and adjusting. Leaders tasked with setting the vision and strategy need to open their ears and eyes to how the strategy is being executed by the larger team. There are a lot of good chunks of information that can be gleaned from the folks who are executing. You'll get a good sense on whether the vision is clear, the strategy makes sense, or if meaningful KPIs are truly being hit or not.

Crowd feedback can very easily go un-appreciated or in some cases un-implemented. Management and HR can very well update plans on their own but there's a certain level of insight and details that can only come from down up. If the scenario/issue allows for it, consider sending out blast emails or blast notices to staff in like a "Customer Service Survey" fashion asking for their opinion on revisions.
