What are the best ways to manage software testing documentation in remote teams?

We use a mix of Confluence, MS Teams, SharePoint and Azure Dev Ops. Ultimately the tool doesn't matter what matters is agreement on where it is, format and purpose. Use it or lose it.

In my experience, the best way is to always have all of the documents (test plans, test scenarios, test strategy etc.) in one place, and not hold it in a local environment. Using Jira with Zephyr and X-Ray adds on was a complete win for me. They are both working perfect in regards of creating and finding testing documents in one place, which is easy for the whole team, not just QA. I had experience with PractiTest platform as well, but I would not recommend it, it has a lot of limitations, it is not worth it for the money, and is hard to set it up!

Use azure-test plan, Zephyr, Test-Rail, or even google docs (excel and word). Any available platform will be just fine. I've used Test Rail for couple of years. But, from my experience the Zephyr is the best one, because it is linked to Jira and it is intuitive. But this is just my opinion.

It can contain project-specific technical terms or clarify QA discipline terminology (e.g. you can determine the "test suite vs test plan" debate for your team). If your docs have to meet regulatory or contractual requirements, define them. -Treat your docs like software features. Start all doc creation by determining requirements. Assign doc writing as a tracked task, and then iterate the docs and the process to keep it working smoothly. -Have a team quality owner in QA. This person validates that docs are meeting requirements and brings doc process improvements to leadership. This person can also own training and further team quality opportunities like leading QA post-mortems.

That's right, if is easy to document the testing, they will be documented. A template, or a form, allowing also some screenshots. And group the documentation on subject or test/issue.. that can also be used to find a solution fast

Agree format has to be same for everyone in the organization. This helps any one who access the documents to find information clearly. Also if needed editable copy should be on desktop to access updates by whole team

One of the best ways this worked was to assign the documents to different people to keep up on it. Each document needs to be scheduled for what type of document it is and if it corresponds to a release or is just internal. Then have each document owner assign it to someone outside to test run the document as the blinders come up for the person working deep in it. This process is easy to do remote as documentation is easily written, updated and tested digitally. Unseeing one of the methods of making document updating and testing can be done though kanban board or testing.

When we maintain the documents in a single location, there are chances where we can lose track of the each one of them and it'll become a tough task to find a specific document during critical operations. To avoid this, it's always recommended to create search filters for the document storage. The search filter should have options to search with the document name, document created date, modified date etc., this is a great approach for a team to optimize their documents and maintain for a remote team operation.

Since we mostly now follow the scrum Framework , maintaining the software documentation is a collaborative and collective effort , we since when started emphasising on CICD platform , therefore even though the final version of the product is updated and available at the Remote Repository yet each feature/ function/ defects that team have worked upon should be available in software’s documentation; this would enhance more understanding and transparency in the team even when cannot connect directly with other members of the team .

Everyone should be quality owner, hence contribute, update and edit test documentation whenever it's needed to reduce possible knowledge gap and requirements misunderstanding.
