Client service is a vital skill for any practice, whether it is legal, medical, accounting, or consulting. It can make or break your reputation, referrals, and retention. But how do you train your staff to deliver excellent client service consistently and effectively? Here are some tips to help you create a culture of client service excellence in your practice.
The first step is to clearly define what excellent client service means for your practice. What are your values, vision, and mission? How do you want your clients to feel when they interact with you and your staff? What are the specific behaviors and actions that demonstrate your standards? Write down your client service standards and communicate them to your staff regularly. Make sure they understand the expectations and the benefits of meeting them.
A good place to start is to make sure people understand, buy in to and are passionate about the real purpose of their role; the "why" rather than the "what".
In my own business we have a global role of “Service Excellence Director” to do just this - to define global standards that can be delivered locally and consistently to the benefit of our clients . The ability to deliver excellent service that drives the clients business forward - and to be able to do that anywhere in the world is what makes truly successful partnerships.

The 2 most important IMO are Lead by Example and continuous training.

In my experience the use of CRMs also play crucial role in this. Sharing feedback with the team will either make or break customers experience. This will also highlight on specific areas that your training will focus on.
The third step is to foster a culture of collaboration and learning among your staff. Encourage them to share their best practices, tips, and insights on client service. Create opportunities for them to learn from each other and from external sources, such as experts, mentors, or peers. Provide them with access to relevant resources, tools, and training to enhance their knowledge and skills. Reward them for their efforts and results.
What we have found helpful is to allow our staff the ability to take ownership of the process and procedures they are working on daily. These individuals live the customer experience daily and have invaluable insight into that. In our meetings we always ask if they think there is a better way to do something and if so we talk it through and try a trial run. Some of the ideas have worked and are maintained and others don't and go back to the drawing board. Allowing staff to have input means they are continuing to learn and look for ways to better the customer experience. I have always believed if your customer facing employees jobs are better, then the customer experience will reflect that.

Create a positive and supportive work environment where your staff can thrive and grow.

Ask them for their opinions, suggestions, and ideas on how to enhance your standards, processes, and systems. Listen to their feedback and act on it. Involve them in the planning and execution of any changes or improvements. Acknowledge their input and show them the impact of their feedback.
In my experience you should also ask your clients how your service can be improved in order to benefit them - and to help them achieve their goals both personally and for their business. It all well and good creating what YOU think is excellent client service but if that falls short of your clients needs and expectations then your what you deliver will not resonate.
The sixth step is to review and refine your strategy for training your staff for excellent client service. Monitor and measure your outcomes, such as client satisfaction, retention, loyalty, and profitability. Analyze your data and identify your strengths and weaknesses. Adjust your strategy as needed to address any changes or challenges in your market, industry, or client needs. Keep your staff updated and engaged in your strategy and goals.
