What is the best way to align your event contract with your event's goals?

One thing I have found helpful in the event planning space is having a true safe space to discuss and come up with ideas/challenges to the pre planning process. From the senior director down to the boots on the ground the direction and goals need to be clear while also allowing each and every employee to talk through any issues they see ahead of time. Talking through possible known issues ahead of time to get a game plan if a challenge does happen is the key to success in events.

Most important: Pre-planning. There are many level's to pre-planning. It is easy to say "set goals" but what does that mean. In many cases it is just talk, words on a piece of paper perhaps - talking the talk. To have a truly successful event it talks action. The more action prior to the event the better prepared you will be at the event to accomplish your objectives. Keep in mind the word "event" takes on many meanings. It is difficult to be specific to the term event without knowing the nature of the event. But, pre-planning is universal to any and all events.

Aligning Event Contract with Event Goals: Clearly define event objectives. Ensure contract terms support these goals. Include flexibility for changes. Negotiate terms that benefit both parties. Regularly review contract against progress.

Having a clear project plan and goal in place makes it easier to assess what you need to accomplish to achieve it. Determine if there are stakeholders involved in your goals and evaluate how you want to communicate your goal with them to get them on board.

You may be right for the client, but you need to know if the client is right for you. Before signing any contracts, you should understand whether they would work well with you and allow your creative visions to shine through. We work best when people believe in us, and it is not worth working with someone who does not truly want you for the job—especially under a contract. Moreover, the event you are doing must align with your goals and visions. If you are/have worked with other clients, they can feel betrayed if you work on a project which does not work with your views. For instance, you might plan luxury events but then receive an offer to do a not-so-luxury event—how might this make your clients feel? And, how might your reputation be?

Having the right partners in place can take your event to the next level and alleviate a lot of stress and anxiety from planning. When you are aligned, the magic happens! They become invested in the success of your event and help you along the way.

It's about building a trustworthy and cooperative network that improves the entire event experience, not just about the goods or services. I agree that choosing the right partners is crucial. Choose partners that would be a good fit for the event, like if a minority group finds groups of that minority, so you can make sure to listen to their voices and use the correct terms.

Choosing the right partners for me, would be selecting those with clear timelines and deadlines. If you are in production for any event where multiple vendors will be utilized, demand clarity with them and your client on what each vendors deadlines are. An example of this would be having vendors ensure your client knows the catering menu needs to be finalized 3 weeks out, not 3 days. Oftentimes a client will not realize catering has different prep times than a DJ or florist etc. then mayhem ensues. Ensure transparency from vendors, partners and clients. Partner with collaborators that are proactive in their respective responsibilities. Otherwise you’ll be left juggling day of chaos if clear communication by all parties wasn’t in place.

Scope and deliverables in any contract are extremely important. What are you expecting from your partner, and what are they expecting from you? What is the timeline, and what are the details about deliverables that you know now? Spell out how changes can be communicated, and how they might be approved or need addendums. You won't always know everything that's needed up front, so having a clear process forward to further define changes/adds/subtractions is important to ensure you're getting what you need, and your partner feels valued and empowered to fulfill.

It seems almost obvious to have clear scope and deliverables in any contract. The crucial need in event planning for these lies in the importance of setting up expectations and not over or under promise.

Work with your Legal team to develop a contract template. Review with stakeholders what are contract “dealbreakers.” The goal of these clauses is to mitigate your risk. Another important contingency clause is the indemnification clause.
